Job Summary
South Mountain Community College is seeking a highly organized, detail-oriented, and strategically minded Administrative Associate Coordinator to support the Vice President of Administrative Services.
This position plays a critical role in supporting division leadership, overseeing Information Technology, Facilities, Human Resources, and Fiscal Services. This role requires someone who can anticipate needs, manage competing priorities, and support division-level strategy execution.
We are looking for a professional who thrives in a dynamic executive environment, demonstrates strong judgment, and can coordinate complex administrative functions with precision and discretion.
Essential Functions
40% Serve as a trusted administrative partner to the Vice President. Manage executive communications, scheduling, and high-level documentation.
30% Coordinate division initiatives and ensure alignment across IT, Facilities, HR, and Fiscal Services. Monitor budgets and assist with fiscal reporting and procurement processes.
30% Facilitate cross-department collaboration and ensure operational continuity. Maintain strict confidentiality and professional integrity.
Minimum Qualifications
Associate's Degree from a regionally accredited institution and three (3) years of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive-level staff.
OR
High School/GED from a regionally accredited institution and five (5) years of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive-level staff.
Desired Qualifications
- Experience supporting executive leadership in higher education
- Experience working in a multi-functional administrative division (IT, HR, Fiscal, Facilities)
- Budget tracking or fiscal monitoring experience
- Experience coordinating cross-departmental projects
- Advanced proficiency in Microsoft Office (Excel, Outlook, PowerPoint) and Google Suite (Sheets, Docs, Slides)
- Experience working in public-sector or higher education environments
- Experience preparing executive-level materials, documents and reports

- Requires prolonged periods of sitting at a desk and working on a computer.

- Visual acuity required to read documents, spreadsheets, financial data, and electronic communications.
- Occasional standing and walking within the office and campus environment.
- May occasionally lift or move objects up to 10 pounds (e.g., files, office supplies, documents, presentation materials).
- May attend meetings across campus buildings requiring limited mobility between locations.
- Interaction with executive leadership, division directors, staff, and external stakeholders.
- Requires maintaining the confidentiality of sensitive personnel, fiscal, and operational information.
- May require occasional schedule flexibility to support executive-level meetings or campus events.
