Job Summary


The Occupational Medicine Services Coordinator will responsibly perform complex secretarial, clerical and administrative duties for the HealthWorks office and will be responsible for coordinating work flow, scheduling, entering charges and other assigned duties, on a daily basis



Essential Functions
  • Provides support to the practice manager, utilizing the following computer programs: Word, Excel, PowerPoint, Outlook, Publisher, Kronos, Intranet, Internet, Lawson and hospital EMR and registration systems
  • Creates Excel spreadsheets and Word documents
  • Develops presentations in Word, Excel and PowerPoint
  • Creates folders and uploads documents to departmental intranet pages
  • Updates policies and maintains files as required
  • Creates and maintains department page, folder and calendar
  • Types meeting agendas, minutes and places completed documents on departmental page
  • Prepares, tabulates and retrieves various reports from Kronos, Excel, etc
  • Performs payroll-specific (primary or back-up functions): Enters staffing sheets; Sends missing punch reports to employees; Ensures all departments have required hours entered; Makes payroll corrections
  • Operations resource for data collection
  • Assembles, prepares and tracks annual education and competency requirements
  • Responsibly communicates information within the boundaries of confidentiality
  • Reports request for repairs to the appropriate persons/departments
  • Communication skills and exceptional telephone etiquette
  • Answers multiple phone lines
  • Schedules appointments and registers patients as needed
  • Coordinates patient schedules with employers and HealthWorks
  • Orders office and medical supplies
  • Oversees coordination of office duty functions
  • Coordinates staff schedules to insure front office coverage
  • Maintains a positive attitude and good working relationship in the office
  • Interacts with other departments, employers and referral sources in a courteous and professional manner
  • Presents a positive attitude related to communication and public relations as defined in the performance evaluation of Southeast Missouri Hospital
  • Will perform job regularly with little or no direction and supervision
  • Carefully and accurately compiles information on each patient registered
  • Participates in the training of new employees if needed
  • Covers for other administrative assistants as needed
  • Assists with on-site events
  • Data entry
  • Obtains needed information from employers for billing purposes
  • Billing and invoicing of Occupational Medicine services
  • Posts payments per invoice
  • Assists in the billing of workers’ compensation
  • Assists employers with invoicing inquiries
  • Invoice review and approval
  • Any other duties as needed to drive to the Vision, fulfill the Mission and abide by the Values of the organization


Qualifications
  • High School Diploma or Equivalent required
  • Associate's Degree preferred
  • Minimum of 6 months Medical office experience preferred
