Job Description
Operations and Maintenance
• Oversee all building mechanical and structural systems, including HVAC, plumbing, electrical, elevators, boilers, and fire/life safety equipment.
• Perform routine property inspections; promptly identify and resolve deficiencies.
• Respond to emergencies, including after-hours calls, with urgency and professionalism.
• Manage seasonal transitions and preventive maintenance schedules to avoid system failures.
• Collaborate with property management and vendors to execute repair scopes, capital projects, and compliance upgrades.
• Act as on-site coordinator for capital improvements, ensuring contractor access, staging, sequencing, shareholder notice, and quality control.
• Serve as the on-the-ground facilitator of management directives and initiatives, ensuring clear communication and seamless execution between all parties.
Staff Supervision (32BJ)
• Lead and manage a team of 11 union employees: 2 Porters, 1 Porter/Painter, 1 Handyman, and 7 Concierge/Doormen.
• Establish and maintain daily and weekly staff schedules in accordance with operational needs and 32BJ contract provisions.
• Assign tasks, monitor performance, and provide on-the-job training where necessary.
• Track attendance, minimize overtime, and ensure adherence to collective bargaining guidelines.
• Cultivate a respectful, service-focused workplace culture.
BuildingLink System Oversight
• Monitor and utilize BuildingLink to manage work orders, log building activity, and track maintenance tasks.
• Assign service tickets to staff and ensure timely completion and closure.
• Maintain current resident records, contractor access logs, and equipment histories in the system.
• Generate weekly or monthly BuildingLink reports for review with management.
Shareholder Service & Communications
• Serve as the first point of contact for shareholder service issues and repair requests.
• Coordinate apartment access, move-ins, alteration work, and deliveries in accordance with building policies.
• Maintain discretion, professionalism, and confidentiality at all times.
• Deliver exceptional customer service to enhance shareholder satisfaction.
Vendor & Project Oversight
• Obtain proposals, schedule vendor work, and supervise execution of contracts.
• Coordinate on-site project logistics with management and vendors, including staging, protection, communication, and clean-up.
• Ensure vendors comply with insurance, scope, and safety requirements.
• Support all local law compliance, façade projects, and critical repairs as the on-site facilitator.
Compliance, Reporting & Board Relations
• Hold and maintain all required FDNY Certificates of Fitness (F-01, S-12, S-13, or willingness to obtain).
• Maintain logs for inspections, safety drills, equipment maintenance, and permits.
• Prepare and submit a comprehensive monthly building report to management and the Board of Directors, detailing work completed, open items, staff performance, project status, and recommendations.
• Attend monthly Board meetings, as scheduled, to provide operational updates and respond to Board inquiries.
• Coordinate with management in advance to review the agenda and ensure alignment on building priorities.
Qualifications
• 5+ years of experience as a Resident Manager or Superintendent in a luxury NYC cooperative or condominium.
• Hands-on mechanical knowledge with experience managing building systems and emergency response.
• Proficient in BuildingLink and other digital work order or operations platforms.
• Familiarity with NYC building code and local law compliance.
• Strong experience managing union personnel, particularly under the 32BJ agreement.
• FDNY Certificates of Fitness (or ability to obtain within 60 days of hire).
• Strong communication, conflict resolution, and customer service skills.
• Highly organized and detail-oriented with the ability to handle multiple priorities.
