pstrongEssential Duties and Responsibilities/strong/p

liExercise and promote safety/li
liPortray a professional impression/li
liRepresent company with a positive, friendly attitude (both over the phone and in person) and possess a professional appearance/li
liOperate telephone system to answer and transfer incoming calls to appropriate destination; if not available, offer to transfer to voicemail; if need be, record name, time of call, nature of business and person called upon/li
liMaintain interoffice phone extension list and distribute updates/li
liReport problematic phone call or issues regarding the phone system/li
liReceive outside visitors and vendors/li
liSign all visitors in and out and issue visitor badges/li
liDirect visitors to destination, respond and answer inquiries both over the phone and in person/li
liFurnish basic information regarding operations and answer routine questions, locate personnel and relay messages/li
liCollect, sort and distribute incoming mail/li
liReceive overnight packages and advise recipient immediately/li
liPrepare outgoing packages as necessary/li
liUnderstand and operate mail machine and apply postage to outgoing mail as required/li
liPrepare and assist with mass mailings when necessary/li
liMaintain stock of FedEx supplies/li
liReceive information dropped off by potential vendors and forward to appropriate party/li
liProcess all invoices for Shipping Department (local plant orders) and mail to customers/li
liAssist Business Group by providing administrative support as needed/li
liAssist Business Group with data entry and ad hoc projects/li
liScan and file production and sales documentation utilizing DocuWare software and windows file systems./li
liValidate sales orders for accuracy, completeness, and compliance with processing standards./li
liPerform clerical work such as typing memos, correspondence or other documents/li
liKeep the reception area and communal areas organized and tidy (cushions, magazines, newspapers, etc.)/li
liKeep conference rooms and boardrooms organized and comfortable for customer visits. Re-supply provisions as needed. /li
liProfessionally receive and escort customers to the boardroom if needed, ensuring they are appropriately welcomed and comfortably accommodated./li
liMaintain all office supplies for office and manage replenishment orders as necessary. /li
liManage Business Group calendar for sales staff, internal events, and outside sales and customer visits. /li
liCoordinate and support internal corporate team events and activities. /li
liOther duties as assigned./li

liMinimum Education: HS Diploma or GED/li
liMinimum Experience: Minimum 3 years� experience answering phones for a company/li

liCommunication Skills: Excellent oral communication skills required; able to speak clearly and distinctly; must speak, read and write English/li
liComputer Skills: Possess a high degree of proficiency with MS Office products/li
liMathematical Skills: Good math skills, including the ability to add, subtract, multiply and divide in all units of measure, using whole numbers, fractions and decimals/li
liReasoning Skills: Excellent reasoning and decision-making skills; able to understand and follow instructions in written, oral, diagram or schedule form; must be able to handle multiple tasks with limited supervision/li
liPhysical Abilities: Regularly required to sit, stand, walk and use hands to handle or feel; must be able to talk and hear; specific vision abilities required by this job include close vision; the physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job; reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions/li
