Position Summary:
The Bid Coordinator supports Global’s commercial Sales and Preconstruction teams by coordinating bid activities, managing proposal documentation, and ensuring accurate, on-time submission of bids across new construction, retrofit, and other commercial opportunities. This role plays a critical part in keeping bid efforts organized, responsive, and moving forward, allowing Sales and Estimating teams to focus on strategy, pricing, and customer relationships.
This is a fast-paced, deadline-driven role best suited for someone who takes ownership, thrives on urgency, and brings a true go-getter mentality to getting bids across the finish line.

Essential Functions & Responsibilities
- Coordinate bid activities from opportunity identification through final submission
- Track bid schedules, deadlines, and requirements to ensure timely and accurate submissions
- Organize and maintain bid documentation including plans, specifications, addenda, proposals, and final submissions
- Maintain bid trackers, calendars, and workload logs for visibility across active pursuits
- Proactively follow up on pricing inputs, approvals, missing information, and outstanding items
- Assist with assembling proposal packages including narratives, forms, exhibits, and required attachments
- Support electronic and physical bid submissions per customer and project requirements
- Serve as a central coordination point between Sales, Estimating, Operations, and external partners
- Manage bid-related calls, emails, and requests with a strong sense of urgency
- Support professional communication with customers, general contractors, and vendors
- Maintain organized systems, standardized templates, and version control
- Demonstrate flexibility in work hours as business needs require, including early mornings or evenings to meet bid deadlines
- Perform related duties as needed to support business operations
Skills & Qualifications
- High school diploma or equivalent required
- Associate degree or relevant coursework preferred
- 3–5 years of administrative, bid coordination, or construction sales support experience preferred
- Strong organizational and time management skills
- Ability to manage multiple bids and deadlines simultaneously
- High attention to detail and accuracy
- Proficiency with spreadsheets, shared document systems, and CRM platforms
- Experience supporting commercial construction bid and proposal processes preferred
- Strong written and verbal communication skills
- Professional interaction with internal teams and external stakeholders
- Proven ability to anticipate needs, follow up consistently, and maintain momentum
