Job Title: Intake Specialist
Reports To: Office Manager and Office Assistant Manager
Job Type: Full-Time
Location: Moreno Valley
Salary Range: Approximately $36K per year, paid hourly, based upon experience
Position Summary:
The Intake Specialist serves as the first point of contact for individuals and families seeking housing counseling services. This position is responsible for gathering initial and subsequent client information, and scheduling appointments with housing counselors. The ideal candidate is compassionate, detail-oriented, and capable of managing a high volume of client interactions both in office and on the phone while maintaining excellent customer service.
Key Responsibilities:
Receive and respond to inquiries via phone, email, and in person regarding housing counseling services.
Conduct initial screenings to collect client information.
Accurately enter and maintain client data in agency databases and client management systems as well as reporting to our parent company.
Schedule appointments for clients with housing counselors and provide necessary intake forms and instructions.
Explain the agency’s services, program requirements, and next steps in a clear and respectful manner.
Follow up with clients to ensure completion of paperwork or verify information as needed.
Maintain client confidentiality and comply with all applicable privacy laws and agency policies.
Support the housing counseling team with administrative tasks, including document scanning, filing, and mailing.
Provide referrals to external resources when clients need services outside the agency’s scope.
Qualifications:
High school diploma or equivalent required; associate or bachelor’s degree in social services, public administration, or a related field preferred.
1-2 years of experience in a customer service, social service, or administrative role, preferably in a nonprofit or housing-related setting.
Strong interpersonal and communication skills with the ability to work with diverse populations.
Excellent organizational, communication skills and attention to detail are a MUST!
Proficiency with Microsoft Office and data entry software; experience with HUD-approved client management systems (e.g., CounselorMax, Home Counselor Online, Cloverleaf) is a plus.
Bilingual in Spanish is preferred.
