Project Construction Coordinator

Position Overview
We are seeking a detail-oriented Project Construction Coordinator to support field and office teams in the planning, documentation, and execution of construction projects. The coordinator will manage project correspondence, maintain project controls, and facilitate communication between contractors, designers, and owners to help deliver projects on time, on budget, and in compliance with contract requirements.

Key Responsibilities

  • Serve as primary document control coordinator: manage submittals, RFIs, transmittals, and as-built documentation using Bluebeam, Acrobat, and Newforma.
  • Coordinate project schedules and assist project managers in tracking milestones, deliverables, and critical path activities.
  • Manage and distribute project drawings, specifications, and revisions; ensure field teams have the latest information.
  • Prepare and maintain logs for submittals, RFIs, change orders, and punch lists; follow up to ensure timely resolution.
  • Support contract administration activities including issuance of purchase orders, change documentation, and coordination with subcontractors and vendors.
  • Facilitate regular coordination meetings and record minutes; track action items and ensure accountability.
  • Assist with quality control and safety documentation, ensuring compliance with project and regulatory requirements.
  • Compile progress reports, meeting summaries, and project closeout documentation for stakeholders.
  • Maintain organized digital and physical project files and ensure adherence to company filing standards.
  • Provide administrative support to the project team as required, including expense tracking and permit coordination.

Qualifications

  • Associate degree or certificate in Construction Management, Engineering Technology, Architecture, or related field; Bachelors degree preferred.
  • 5+ years of experience in construction coordination, document control, or project administration on commercial or institutional projects.
  • Proficiency with Bluebeam, Adobe Acrobat (including PDF markups and form workflows), and Newforma or similar construction project management/document control systems.
  • Strong working knowledge of construction documents, submittal and RFI processes, and contract administration.
  • Excellent written and verbal communication skills; ability to prepare clear reports and coordinate with diverse project stakeholders.
  • Highly organized with strong attention to detail, able to manage multiple priorities and meet deadlines.
  • Proficient with Microsoft Office suite (Word, Excel, Outlook) and familiarity with scheduling tools (Primavera or MS Project preferred).
  • Ability to work both in the office and on site as required; valid drivers license.
  • Preferred: Experience as a construction coordinator or project engineer; familiarity with BIM/VDC workflows and basic cost tracking.
