SUMMARY OF JOB DESCRIPTION:

Provide support to the Chief Technology Officer (CTO) and the Technology Department Management Team to assure the smooth operation of the department. 

 

REPORTS TO:

Chief Technology Officer

 

ESSENTIAL JOB ELEMENTS:

  • Coordinate and organize administrative support, clerical tasks, schedules and routine office procedures required by the Technology Department.
  • Take initiative in the development of processes and procedures for the effective administration in meeting all department deadlines.
  • Manage communications by researching and providing requested information or routing to the appropriate party/ department.
  • Advise and assist the CTO regarding budget and manage accounts which are the responsibility of the department, including various department allocations.
  • Coordinate communication and requisite materials needed for the smooth operation of the department’s four main work divisions.
  • Assist in gathering, compiling, preparing, and completing all associated reports for E-Rate.
  • Assist in gathering, compiling, preparing, and completing purchase card logs and reimbursements.
  • Maintain files of absence management reports related to the Technology Department.
  • Provide administrative assistance for the Managers of IT, IS, SIS and Educational Technology.
  • Facilitate and document the purchasing process for the Technology Department as needed for equipment and other materials.
  • Communicate and maintain a daily schedule for the CTO.
  • Assist the Technology Managers in posting and maintaining web-based information for the department.
  • Research, coordinate, and make arrangements for Department special events to include trainings, lunches, meetings, and interdepartmental communications.
  • Serve as system data entry specialist for the Department’s work order system.
  • Manage intake, routing, and tracking of support tickets through the work order system. 
  • Perform basic technical troubleshooting and escalate issues as needed. 
  • Maintain data integrity across departmental systems, including data entry, reporting, and system updates. 
  • Support device and system inventory management, procurement coordination, and lifecycle tracking. 
  • Process purchases orders, and submit credit card statements as necessary.
  • To serve as the lead person for the Department’s Help Desk in answering phone calls to provide a higher level of customer service to all ECSD employees.
  • Gather and compile all paperwork (i.e. reimbursements, travel, purchase orders, Visa transactions and budget information) for Department personnel.
  • Produce and distribute Department communications as necessary.
  • Gather and compile paperwork from Red Rover for bi-weekly payroll. Gather proper signatures and approvals from various supervisors.
  • Compile, analyze, and present technology performance data through monthly dashboards, including: 
    • Infrastructure and endpoint performance 
    • Help Desk metrics (response time, resolution time, ticket trends) 
    • Project status and delivery metrics 
  • Using Data Analytics tools and strategies, identify trends and provide insights to support data-informed continuous improvement in the operational processes and procedures of the Technology Department. 
  • Assist the User Support team in providing support to the various end points on our network as time and experience allow.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree in information technology or equivalent combination of education and experience.
  • 3 years related administrative support or related technology experience, including accounting experience or equivalent course work.
  • 2 years related data visualization (dashboards & KPI’s) support or related education and technology experience, including accounting experience or equivalent course work.
  • Effective communication and interpersonal skills.
  • Effective organizational, time management and problem-solving skills.
  • Computer skills: software management applications, technical trouble shooting skills and system analysis.
  • Successful experience working with confidential information in an office setting.
