Job Description
The Office Coordinator is the heartbeat of our administrative operationsensuring that our office runs smoothly, our team stays supported, and our mission stays on track. This role is ideal for a proactive, detail-oriented professional who thrives in dynamic environments and brings warmth, precision, and resourcefulness to every task. Youll manage day-to-day logistics, support leadership, and serve as a welcoming presence for staff, families, and community partners.
Key Responsibilities
Administrative Operations & Office Management
- Oversee daily office functions, including supply inventory, vendor coordination, and facility upkeep
- Manage incoming communications, mail, and scheduling requests
- Maintain organized filing systems (digital and physical) for compliance and accessibility
- Coordinate logistics for meetings, trainings, and community events
Staff & Program Support
- Assist with onboarding new hires, interns, and volunteers
- Support HR and finance teams with document tracking and reporting
- Prepare materials for licensing visits, audits, and grant submissions
- Serve as point of contact for internal inquiries and troubleshooting
Client & Community Engagement
- Greet families, partners, and guests with professionalism and compassion
- Ensure front desk and common areas reflect Houston Strongs values of dignity and care
- Support coordination of transportation, appointments, and referrals as needed
Technology & Systems Oversight
- Maintain calendars, shared drives, and CRM entries
- Troubleshoot basic tech issues and liaise with IT support
- Ensure confidentiality and data integrity across all platforms
Qualifications
- High school diploma required; associate or bachelors degree preferred
- 2+ years of experience in office coordination, administrative support, or nonprofit operations
- Strong organizational, communication, and multitasking skills
- Proficiency in Microsoft Office, Google Workspace, and cloud-based systems
- Ability to work independently and collaboratively in a fast-paced environment
- Bilingual (Spanish/English) a plus
