The Office Coordinator is the heartbeat of our administrative operationsensuring that our office runs smoothly, our team stays supported, and our mission stays on track. This role is ideal for a proactive, detail-oriented professional who thrives in dynamic environments and brings warmth, precision, and resourcefulness to every task. Youll manage day-to-day logistics, support leadership, and serve as a welcoming presence for staff, families, and community partners.

Key Responsibilities

Administrative Operations & Office Management

  • Oversee daily office functions, including supply inventory, vendor coordination, and facility upkeep
  • Manage incoming communications, mail, and scheduling requests
  • Maintain organized filing systems (digital and physical) for compliance and accessibility
  • Coordinate logistics for meetings, trainings, and community events

Staff & Program Support

  • Assist with onboarding new hires, interns, and volunteers
  • Support HR and finance teams with document tracking and reporting
  • Prepare materials for licensing visits, audits, and grant submissions
  • Serve as point of contact for internal inquiries and troubleshooting

Client & Community Engagement

  • Greet families, partners, and guests with professionalism and compassion
  • Ensure front desk and common areas reflect Houston Strongs values of dignity and care
  • Support coordination of transportation, appointments, and referrals as needed

Technology & Systems Oversight

  • Maintain calendars, shared drives, and CRM entries
  • Troubleshoot basic tech issues and liaise with IT support
  • Ensure confidentiality and data integrity across all platforms

Qualifications

  • High school diploma required; associate or bachelors degree preferred
  • 2+ years of experience in office coordination, administrative support, or nonprofit operations
  • Strong organizational, communication, and multitasking skills
  • Proficiency in Microsoft Office, Google Workspace, and cloud-based systems
  • Ability to work independently and collaboratively in a fast-paced environment
  • Bilingual (Spanish/English) a plus
