We are currently hiring an Office Administrator to help support the team by managing the day-to-day at our new clinic in Artesia. This role will interact frequently with staff, clients, and their respective families. 

 

We provide quality and individualized services based on the principles of Applied Behavior Analysis (ABA) to children and teens with autism spectrum disorder (ASD), learning disabilities, and developmental delays.   

 

Primary Job Responsibilities 

  • Responsible for opening and closing the clinic 
  • Uses various computer applications, such as database management and word processing  
  • Professionally answers telephones, takes client intakes, answers employee questions, completes employee requests, and redirects callers to appropriate parties when necessary 
  • Schedules appointments using software 
  • Corresponds with insurance payors and/or third parties via written or verbal communication 
  • Inputs client authorizations into spreadsheets and software 
  • Manages and analyzes email inbox, prioritizes urgent requests, and responds in a professional and timely manner 
  • Maintains working knowledge of current company functions, services hierarchy, protocol, procedures, and software 
  • Maintains working knowledge of California laws surrounding lunches, breaks, and travel 
  • Regularly updates clinical teams and pertinent parties with developments 
  • Performs regular maintenance and general upkeep of the premises 
  • Completes tasks as assigned by management 


Skills and Qualifications 

  • Required: 
    • Bilingual - Spanish
    • High School Diploma or equivalent
    • Must have excellent verbal and written communication skills 
    • Must be able to manage time and prioritize effectively 
    • Ability to provide evidence of negative tuberculosis test 
    • Ability to pass FBI and DOJ Live Scan background check 
    • Consistent and reliable transportation
  • Preferred:  
    • Experience working with or around individuals with learning or development disabilities 
    • Prior administrative experience
