Role Summary
As the Operations & Maintenance Office Professional (Level 3), you will coordinate the administrative, clerical, and logistical operations of the Facilities department. Working in a fast-paced, high-volume environment, you will manage work-order systems, coordinate with external vendors, track departmental budgets, and support the Director of Operations. You will serve as a vital link between the maintenance crews and the school buildings, ensuring that every facility request is handled with professional urgency and accuracy.
Why You’ll Succeed (Qualifications)
- Proven Mastery: 3–5 years of successful experience as a Secretary or Administrative Assistant is required. Experience in construction, facilities management, or a municipal/educational operations setting is highly preferred.
- The "Logistics" Expert: You possess advanced organizational skills and can manage shifting priorities, from emergency repairs to long-term capital projects.
- Tech Savvy: You are proficient in Google Workspace and Microsoft Office, with the ability to master specialized Work Order Management software and inventory systems.
- Financial Stewardship: You have a strong grasp of purchase orders, vendor invoicing, and budget tracking to ensure departmental fiscal responsibility.
- Relational Expert: You are a professional communicator who can coordinate effectively with diverse teams—from master plumbers and electricians to building principals and district executives.
Your Impact (Key Duties)
- Work-Order Coordination: Oversee the district’s maintenance request system, ensuring tasks are assigned, tracked, and closed out to keep our buildings in top shape.
- Vendor & Contract Management: Act as the primary point of contact for external contractors and suppliers; managing bids, insurance documentation, and service schedules.
- Financial Operations: Process departmental payroll/timecards for maintenance staff, manage purchase orders for parts and equipment, and assist in monitoring the multi-million dollar operations budget.
- Administrative Liaison: Provide high-level support to the Director of Operations, including preparing safety reports, managing departmental calendars, and coordinating fleet maintenance records.
- Safety & Compliance: Maintain critical records for building inspections, fire safety compliance, and environmental regulations to ensure a safe "New Chapter" for every student.
