Job Summary

With a customer-centric approach, the Department Assistant will serve as the first impression for all internal and external customers, providing reception and administrative services. 

 

Responsibilities

Communication:


Communicate effectively and appropriately. Consistently greets customers in both a prompt and professional manner. Effectively listens and solicits information to better assist employees and other visitors to the department. Uses good judgement as to what to communicate to whom as well as the best way to get that accomplished. Speaks in a clear and credible manner, selecting the right tone for the situation and audience.



Managing Multiple Priorities:


Handles multiple assignments and priorities and fulfills all commitments. Readily accepts new responsibilities and adapts well to changes in procedures. Gives appropriate priority to various work demands. Prioritizes tasks and manages time to ensure that deadlines are met. Plans time and manages interruptions until the highest priority tasks are accomplished.



Quality of Work:


Produce quality work that is highly accurate. Demonstrates attention to detail and contributes to a positive perception of the department. Is personally committed to high quality work and encourages others to have similar standards. Makes quality independent decisions. Exercises good judgment in the use of facility resources (e.g. minimizes waste and excessive use of supplies.)



Customer Focus:


Demonstrates that internal and external customers are a high priority. Identifies needs and expectations through phone calls and/or emails and responds to them in a timely and effective manner. Anticipates and prevents delays or other things that can adversely affect the customer experience. Maintains a neat, clean, and organized work environment. Demonstrates teamwork by offering help and support to co-workers, sharing job-related information as appropriate, and demonstrating respect and cooperation to all customers. Seeks additional tasks when own work is complete, even when it is outside his/her scope of responsibility (i.e. "not my job").

Clerical


Picks up mail twice per day, date stamps, and appropriately distributes within the same day to department team members. Answers telephone promptly, using proper phone etiquette and effectively screens and directs calls.


Types correspondence, schedules appointments, and performs other clerical support for the Department. Assists with other department projects to support the achievement of goals and objectives.

Knowledge, Skills & Abilities

Intermediate Word and Excel Experience Required.  Knowledge of medical terminology, and experience in working with a variety of people in office or healthcare environment. Must represent the system with the utmost professionalism.

Frequent lifting and/or carrying of objects weighing up to10 lbs with a maximum lifting of 25 lbs.
