Administrative Assistant Responsibilities:
  • Confirm and scan all inbound documents from receiving.
  • Accurately capture and enter document details into the tracking system.
  • Capture export releases and ensure they are accurately recorded in the tracker.
  • Follow up with necessary notification emails to relevant parties.
  • Build job jackets for warehouse processing, ensuring all required documentation is included and properly organized.
  • Assist with packing documents into the warehouse system for issuance.
  • Prepare all necessary documents for export in compliance with company policies and regulations.
  • Monitor and follow up on staged shipments pending export.
  • Send follow-up emails to ensure timely processing and resolve any issues that may arise.
  • Perform other duties as assigned to support the efficient operation of the document control and warehouse processing functions.
Qualifications:
  • High school diploma or equivalent.
  • Proficiency in using document management systems and tracking tools.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Proficient in MS Office (Word, Excel, Outlook).
