Heritage Imports LLC, a division of Heritage Distribution Holdings, is in an exciting stage of growth and operational development. Position Purpose Summary:
The HVAC Product & Supply Chain Operations Specialist supports the growth and operational development of Heritage Imports LLC, a division of Heritage Distribution Holdings. Heritage Imports is a growing import and distribution business focused on supporting HVAC product lines across multiple business units.
This role is ideal for someone who enjoys building processes, solving operational problems, and working across product, supplier, and logistics functions in a fast-paced environment. The position combines hands-on operational execution with process improvement responsibilities and will play a key role in helping Heritage Imports transition from manual workflows to scalable operational systems.
The successful candidate will work closely with suppliers, logistics providers, internal sales and purchasing teams, and operational leadership to support product launches, supplier coordination, inventory flow, ERP management, and ongoing operational improvements. This role offers broad exposure across HVAC product operations and supply chain activities, with strong opportunity for future growth as the business scales.
Key Responsibilities / Tasks:
- Support day-to-day supplier coordination, communication, and operational follow-up activities
- Assist with onboarding new HVAC products, including item setup, ERP coordination, product documentation, and system configuration
- Coordinate product registrations, GTIN/UPC setup, certifications, warranty documentation, and compliance-related activities
- Review product specifications, installation manuals, submittals, and technical documentation for accuracy and completeness
- Support development and maintenance of HVAC pricing sheets, product data, and product support materials aligned with field sales expectations
- Assist with HVAC product matchups, product structure coordination, and operational support for new product rollouts
- Support procurement and inbound logistics activities, including purchase order coordination, shipment tracking, and supplier follow-up
- Coordinate with third-party logistics providers, customs brokers, freight partners, and internal teams to manage inbound and outbound product flow
- Assist with order processing, shipment coordination, and resolution of operational exceptions including delays, discrepancies, OS&D, and inventory issues
- Maintain accurate product, supplier, inventory, and operational data within ERP and reporting systems
- Help develop and improve standard operating procedures (SOPs), workflows, and scalable business processes
- Collaborate cross-functionally with sales, operations, finance, warehouse, and supplier partners to support business growth and operational execution
- Analyze operational, supplier, and product data to support decision-making, process improvement, and performance tracking
Certifications:
- None required; APICS, Six Sigma, Lean Systems, supply chain, product, or HVAC-related certifications a plus
Educational Requirements:
- Bachelor’s degree in Business, Supply Chain, or related field preferred
- Equivalent experience considered
Years of Experience:
- 3+ years of experience in HVAC distribution, HVAC manufacturing, industrial distribution, supply chain, product operations, or related industry
- Experience supporting HVAC products, pricing programs, or warranty processes strongly preferred
- Exposure to product, sourcing, or supplier management preferred
Knowledge / Skills / Abilities:
- Familiarity with HVAC equipment, parts, product structures, and distribution operations
- Strong organizational and problem-solving skills with high attention to detail
- Understanding of field sales and distributor expectations within the HVAC industry, including pricing sheets, warranty processes, and product support requirements
- Ability to manage multiple priorities and adapt in a fast-paced, evolving environment
- Proficiency with ERP systems and Microsoft Excel
- Strong communication skills with ability to work across internal teams and external supplier/logistics partners
- Comfortable working in a hands-on operational role with broad responsibilities
- Curiosity and willingness to learn new products, systems, and operational processes
- Ability to balance day-to-day execution with process improvement and scalability thinking
- Self-starter with strong ownership mentality and willingness to help build operational structure within a growing business
