Position Summary
The Sr. Management Assistant provides high-level administrative support to senior leadership, ensuring efficient operation of the executive office. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant serves as a key liaison between executives, employees, and external partners, helping to streamline communication and support strategic initiatives.
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones
- Schedule flights for team members
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents
- Coordinate travel arrangements, including itineraries, accommodations, and expense reporting
- Serve as a point of contact between executives and internal/external stakeholders
- Organize and support meetings, including preparing agendas, taking minutes, and following up on action items
- Handle confidential information with discretion and professionalism
- Assist with project coordination and execution of strategic initiatives
- Maintain organized filing systems and ensure accurate recordkeeping
- Screen calls, emails, and requests, prioritizing as needed
- Support event planning and coordination for executive-level meetings or company functions
Qualifications
- Proven experience as an Executive Assistant or in a similar high-level administrative role
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- High level of professionalism and discretion when handling sensitive information
- Proficiency in Adobe, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other business tools
- Ability to multitask, prioritize, and adapt in a dynamic environment
- Strong attention to detail and problem-solving skill
Preferred Qualifications
- Experience supporting C-suite executives
- Bachelor’s degree or equivalent work experience
- Experience with project management tools or systems
Work Environment & Expectations
- Very Fast-paced, deadline-driven environment
- May require occasional after-hours availability to support executive needs
- May require traveling
- High level of collaboration across departments
