Pay Rate: $23.00–$26.00/hour DOE

Position Summary

A busy food manufacturing company is seeking a highly organized and proactive Office Administrator to provide day-to-day administrative and operational support across two Bay Area facilities. This role is responsible for maintaining professional and efficient office environments, supporting site leadership, managing visitor and badge processes, and ensuring a seamless experience for employees, guests, and vendor partners. The ideal candidate is detail-oriented, adaptable, and comfortable working in a fast-paced manufacturing setting while adhering to Good Manufacturing Practices (GMPs).

Key Responsibilities

Office & Facility Support

  • Maintain clean, organized, and fully functional office spaces across multiple locations
  • Conduct routine walkthroughs to ensure conference rooms, offices, and common areas are presentable and stocked
  • Coordinate office and kitchen supply orders and address basic facility needs
  • Provide filing and administrative assistance to departments such as Human Resources, Quality Assurance, and Plant Leadership

Badge & Access Management

  • Issue, track, and deactivate employee and visitor badges
  • Maintain accurate access records and support onboarding and offboarding activities
  • Troubleshoot badge access issues and coordinate with Human Resources and site leadership

Visitor Management

  • Serve as the primary point of contact for visitors and external partners
  • Coordinate visitor check-in, badge issuance, host notifications, and site logistics
  • Prepare meeting rooms and support catering, materials setup, and other hosting activities

Administrative & Operational Support

  • Provide general administrative support to site leadership and corporate teams
  • Assist with scheduling, meeting coordination, and internal communications
  • Support company events, meetings, and employee engagement activities
  • Help standardize office procedures and best practices across locations

Qualifications & Skills

  • 1–2 years of administrative, office coordination, or facilities support experience required; manufacturing or multi-site experience preferred
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to learn new systems quickly
  • Excellent organizational, time management, and multitasking abilities
  • Strong verbal and written communication skills with a professional and customer-focused approach
  • High attention to detail and ability to maintain accurate records and inventory
  • Able to work independently and effectively collaborate with employees at all levels
  • Comfortable traveling regularly between South San Francisco and San Leandro facilities
  • Ability to lift and move office supplies up to 25 pounds
  • Must be able to enter the manufacturing floor and comply with GMP and food safety requirements
