Role Overview

The Lead FollowUp Specialist plays a critical role in ensuring exceptional client experience and operational consistency across three studio locations. This position is responsible for managing all outbound and inbound followup communication, maintaining accurate records, and ensuring no lead, inquiry, or client request falls through the cracks. High attention to detail is essential, as the right candidate will balance multiple workflows, systems, and communication channels simultaneously. The primary role is to connect with potential clients whove clicked on our Facebook ads and follow up by phone, answer questions, and schedule their two free one-on-one sessions offered by The Exercise Coach.

Key Responsibilities:
Lead Management & FollowUp

• Call warm leads whove expressed interest via Facebook or other ad platforms used by The Exercise Coach.
• Respond promptly to new leads from all three studios via phone, text, email, and CRM.
• Maintain consistent followup sequences to maximize conversion and client engagement.
• Track lead status, outcomes, and next steps with exceptional accuracy.

Client Communication

• Provide warm, professional, and timely communication to prospective and current clients.
• Answer basic questions about The Exercise Coach and our 20 minute twice a week workouts and schedule their two free promo sessions.
• Ensure messaging is consistent across all studios and aligned with brand standards.

Operational Coordination

• Collaborate with studio managers to understand capacity, scheduling needs, and promotional priorities.
• Monitor followup pipelines and track interactions and outcomes for each studio in our CRM system.
• Maintain organized digital records, notes, and communication logs.

Quality & Performance

• Meet or exceed followup KPIs, including response times, lead quality, conversion rates, and accuracy metrics on campaign performance.
• Identify gaps in followup processes and recommend improvements.
• Uphold a high standard of professionalism in every client interaction.

Required Skills & Qualifications:

• Proven experience in customer service, sales support, or lead management.
• Exceptional attention to detail able to manage multiple studios pipelines without errors.
• Strong written and verbal communication skills.
• Excellent phone communication skills
• Comfortable working with CRM systems, scheduling tools, and multichannel communication platforms.
• Highly organized, selfdirected, and able to prioritize in a fastpaced environment.
• Positive, serviceoriented attitude with a commitment to delivering an outstanding client experience.

Preferred Qualifications:

• Experience in fitness, wellness, or studiobased service environments.
• Familiarity with leadnurture workflows or salessupport processes.
• Ability to analyze lead data and identify trends or opportunities.
• Knowledge in Hubspot, JustCall, or Mindbody a plus
