We are seeking an experienced and highly polished Executive Assistant to support two Managing Directors and one Vice President at a fast-paced investment management firm. This role requires a proactive, detail-oriented professional who thrives in a high-performance environment and is comfortable managing complex scheduling, ever-changing priorities, and confidential information with discretion.

 

The ideal candidate is organized, resourceful, calm under pressure, and accustomed to supporting senior executives within financial services, private equity, investment banking, hedge funds, or similarly fast-paced environments.

 

Responsibilities:

  • Manage complex and ever-changing calendars for two Managing Directors and one Vice President
  • Coordinate domestic and international travel arrangements, including flights, hotels, car service, itineraries, and visas as needed
  • Schedule internal and external meetings across multiple time zones
  • Serve as a gatekeeper and point of contact for executives, clients, and internal stakeholders
  • Prepare and process expense reports in a timely manner
  • Coordinate conference calls, video meetings, and meeting logistics
  • Assist with presentations, meeting materials, and ad hoc administrative projects
  • Handle confidential and sensitive information with professionalism and discretion
  • Partner closely with other administrative staff and executives across the organization

 

Qualifications:

  • 5+ years of Executive Assistant experience supporting senior executives within investment management, private equity, hedge funds, investment banking, or other fast-paced corporate environments
  • Strong calendar management and travel coordination experience required
  • Exceptional organizational skills and attention to detail
  • Ability to prioritize competing requests and operate with urgency
  • Professional communication skills and strong executive presence
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word
  • Experience with expense management platforms such as Concur is a plus
  • Bachelor’s degree preferred
