Job Description
We are looking for a detail-oriented Office Services Associate to support day-to-day back-office operations for a client site in Austin, Texas. This is a Contract position that plays an important role in keeping document production, mail handling, and related office support services running smoothly in both physical and digital environments. The ideal candidate brings strong customer service skills, sound judgment, and the ability to manage multiple priorities in a fast-paced setting while maintaining accuracy and confidentiality.
Responsibilities:
• Manage daily office support tasks such as copy, print, scanning, intake, and mail distribution activities in accordance with site procedures.
• Review incoming job requests for completeness and accuracy before starting work, ensuring instructions and deadlines are clearly understood.
• Record completed and in-progress assignments using designated logs to maintain accurate tracking of office services activity.
• Organize assignments by urgency and service commitments so work is completed and delivered within agreed timeframes.
• Communicate proactively with clients and leadership regarding request status, scheduling concerns, or issues that may affect turnaround times.
• Perform basic troubleshooting on office equipment and replenish paper, toner, and other supplies to keep machines operational.
• Conduct quality checks on completed work, including personal output and team-produced materials when needed, to ensure accuracy and presentation standards.
• Handle confidential documents with care, follow all company and client policies, and use materials and equipment responsibly and efficiently.• High school diploma or equivalent required.
• At least 1 year of experience in office services, copy center, mailroom, or similar administrative support work, ideally within a legal, banking, or large corporate environment.
• Strong customer service and communication skills with the ability to build positive working relationships across diverse teams and client groups.
• Familiarity with general back-office operations, including document handling, scanning, reprographics, and mail processes.
• Ability to stay organized, manage competing priorities, and meet deadlines in a high-volume environment.
• Comfortable working with sensitive or confidential information while exercising discretion and sound judgment.
• Basic problem-solving skills, including the ability to resolve routine equipment or workflow issues and escalate concerns when appropriate.
• Ability to lift up to 50 lbs. regularly and work effectively as part of a team with a proactive, dependable attitude.
