Position Summary
We are seeking a friendly, detail-oriented Patient Service Representative to join our team. In this role, you will be the first point of contact for patients, playing a key role in creating a welcoming, efficient experience while supporting daily front office operations in a fast-paced medical practice.
Key Responsibilities
Patient Experience
- Greet and check in/out patients in a warm and professional manner
- Ensure a positive, welcoming environment for all patients and visitors
- Communicate effectively with clinical staff to support smooth patient flow
- Schedule and confirm patient appointments and procedures
- Answer and manage a multi-line phone system
- Work appointment waitlists to fill open time slots
- Process referrals and coordinate patient scheduling
- Verify insurance eligibility and benefits prior to appointments
- Collect copays, deductibles, and outstanding balances
- Communicate anticipated patient responsibility prior to visits
- Assist patients with basic billing and account questions
- Maintain accurate patient demographic and insurance information
- Manage incoming faxes, emails, and patient messages
- Scan and upload documents into patient charts (EMR)
- Maintain an organized and efficient front office environment
- 1–2+ years of front desk, administrative, or customer service experience (medical office preferred)
- Strong communication and interpersonal skills
- Ability to multitask and work in a fast-paced environment
- Basic computer skills and ability to learn EMR systems
- Experience with insurance verification preferred
- Friendly, patient-focused demeanor
- Strong attention to detail and organization
- Reliable and team-oriented
- Comfortable handling phones, scheduling, and patient interaction
- Ability to manage multiple priorities with professionalism
- Stable full-time schedule

- Meaningful role making a direct impact on patient experience
- High school diploma or GED required
- Previous experience in a busy office environment preferred
Mental/Physical Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle supplies, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
