Job Description
The Referral Coordinator performs daily activities necessary to process and assign incoming and outgoing referrals to company designated trained real estate agents. They are a professional and personable resource to the Sales Agents and corporate counselors. They effectively communicate with all parties involved on a given transaction. Employee must be located in IL or WI.
ESSENTIAL DUTIES AND RESPONSIBILITIES
● General Duties Include:
o Place/Assign incoming and outgoing referrals to sales agents
o Manage referrals and updates according to required timelines
o Ensure all updates are completed in a timely manner according to required guidelines
o Follow up with agents regarding updates needed
o Update necessary systems and programs regarding the referrals and their status
o Process referral checks
o Verbally negotiate inventory properties
o Coordinate with agents and relocation consultants on necessary repairs for inventory properties
o Perform utility transfers and coordinate winterization of inventory properties
o Invoice agents related to inventory properties
o Monitor LeadRouter leads received
o Submit broker reimbursements according to instructions provided
o Ensure current W9 Forms are on file for all vendors
o Receive and respond to questions and concerns regarding referrals
o Update and maintain google calendar with closing date of properties
o Post relocation information on Relocation Department Facebook page
o Answer phone calls from service consultants and agents
o Attend required meetings, webinars and training sessions

Person should possess the following:
o Excellent communications skills
o Personable and friendly
o Attention to detail
o Proficient with technology (Microsoft Office, Google products and other back-office software)
o Ability to work well under pressure balancing multiple priorities and assignments to meet deadlines
o Consistent with follow up and follow through
o Strong typing skills
o Ability to handle and resolve recurring problems
o Must be highly organized
o Adaptable to various personalities/situations
EDUCATION and/or EXPERIENCE
● Combination of education and experience sufficient to successfully perform the essential duties of the job
LANGUAGE SKILLS
● Ability to read and understand documents and to communicate with agents and other staff members in a courteous and professional manner
MATHEMATICAL SKILLS
● Basic Accounting knowledge
REASONING ABILITY
● Ability to define the problem, establish facts and draw a valid conclusion to solve the problem and plan initiatives
CERTIFICATES, LICENSES, REGISTRATIONS
● A background in real estate is helpful, although having a real estate license is not required for this position
PHYSICAL DEMANDS
● Mobility to work in a standard office setting using standard office equipment including:
○ Stamina to maintain attention to detail despite interruptions
○ Strength to lift and carry files weighing up to 3 pounds
○ Vision to read printed materials and a computer screen
○ Hearing and speech to communicate in person and over the telephone
WORK ENVIRONMENT
● Frequently subject to interruptions in a moderate noise level office setting
