The Sales Coordinator is the operational backbone of Amplify HR Management's sales organization. This role ensures the sales team can focus on revenue-generating activity by owning the day-to-day administrative, quoting, and vendor communication functions that keep the pipeline moving. The Sales Coordinator serves as the central point of coordination between sales representatives, carriers, brokers, and internal teams, delivering accurate quotes, timely benefit comparisons, clean documentation, and a well-maintained CRM.
Core Responsibilities
Sales Quoting & Benefits Comparisons
•\tRun quotes through quoting software on behalf of the sales team, delivering accurate and timely output for prospect and client conversations
•\tGenerate benefit plan comparisons and create client-ready analysis documents
•\tMaintain pricing templates and ensure competitive positioning across proposal materials
•\tResearch and obtain quotes from alternative carriers, including ICHRA options
•\tPrepare comparison analyses to support clients exploring non-traditional benefit structures
Vendor & Carrier Communication
•\tServe as primary liaison with carriers and vendors for all day-to-day correspondence
•\tReview documents, obtain quotes, and manage ongoing vendor relationships
•\tPrepare and submit workers' compensation applications and gather required documentation
•\tTrack submission status and follow up on pending quotes and carrier responses
CRM & Sales Administration
•\tMaintain Salesforce data integrity, including opportunity stage updates and pipeline accuracy
•\tGenerate reports and dashboards to support forecasting and performance reviews
•\tHandle general administrative support including scheduling, presentations, and internal coordination
•\tPrepare agendas, compile performance metrics, and document action items for sales team meetings
•\tCoordinate sales team recognition programs, track achievements, and administer incentive programs
Document & Contract Management
•\tAssist in document collection from prospects and clients, maintaining organized and up-to-date filing
•\tMaintain sales folders by downloading quotes, proposals, and carrier correspondence and keeping all files current and properly organized
•\tDraft and prepare contracts and agreements; coordinate the signature process
•\tEnsure accuracy of terms and conditions and compliance requirements are met
PEO Spectrum Support
•\tManage PEO Spectrum quotes and submissions as a dedicated liaison to the PEO Spectrum team
•\tMaintain and coordinate the proposal calendar and ensure timely delivery of PEO proposals
•\tProvide bandwidth support that enables sales leadership to focus on team development and growth
Census Conversions & Data Processing
•\tConvert and normalize broker census data using AI-assisted workflows and internal tools
•\tEnsure data accuracy and consistent formatting for use in quoting and comparison workflows
•\tMaintain and improve census processing procedures in coordination with sales leadership
Special Projects
•\tTake on special projects as needed and as assigned by sales leadership
Qualifications
Required
•\t2+ years of experience in sales support, benefits administration, or insurance coordination
•\tProficiency in CRM platforms, particularly Salesforce
•\tStrong command of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
•\tExcellent written and verbal communication skills
•\tHigh attention to detail and the ability to manage multiple priorities in a fast-paced environment
•\tAbility to build and maintain professional relationships with carriers, vendors, and clients
Preferred
•\tExperience with Perfect Quote or comparable benefits quoting software
•\tFamiliarity with PEO operations, co-employment structures, or group health insurance
•\tExposure to workers' compensation submissions and carrier correspondence
•\tExperience with AI productivity tools and comfort in adopting new technology
•\tKnowledge of ICHRA, HRA, and ACA compliance concepts
