SENIOR ADMINISTRATIVE ASSISTANT

Location; Woburn or Bedford, MA

JOB DESCRIPTION

The Senior Administrative Assistant will provide overall administrative support to Global CMC Development leadership team based in the Woburn or Bedford, MA office. Responsibilities will include (not limited to) office management, calendar management, travel and expense reporting and meetings / event planning for 1 SVP, 2 VPs, and 2 Exec Dirs. Administrative analysis, tracking and special projects as determined by the leadership team.

KEY RESPONSIBILITIES

  • Day to day administrative support for department heads of Technical Development, Analytical Development, Process Development, and other senior staff.
  • Perform administrative functions (office management, and limited office support).
  • Proactively manage calendar, appointments, and meeting requests through MS Outlook.
  • Manage travel coordination including booking flights, hotels, and meeting requirements as well expense reporting.
  • Responsible for coordinating conference calls and meetings at industry events.
  • Word processing including formatting templates, documents and presentations, proofing, printing, copying.
  • Maintaining departmental distribution lists and select smartsheet trackers.
  • Prepare and complete expense reports for processing.
  • Attending Staff Meetings and Leadership meetings, maintaining agenda and taking minutes.
  • Communicating with senior leadership, external partners and organization to schedule and set-up critical meetings.

QUALIFICATIONS

  • Minimum of 5 years of administrative support experience, specifically in a fast-paced technology environment .
  • Excellent oral and written communication skills, and proven ability to work autonomously and prioritize workload .
  • Proficiency in MS Office Suite: Outlook, Word, Excel, and PowerPoint.
  • High attention to detail, excellent organizational skills and the ability to deliver quality work on multiple projects.
  • Excellent interpersonal and verbal communications skills and the ability to work effectively with a variety of personnel both internal and external to the company.
  • Must be a self-starter and have a positive and flexible attitude .
