Job Description

The Front Office Coordinator serves as the first point of contact for visitors, clients, and employees while ensuring smooth daily administrative and office operations. This role manages front desk responsibilities, supports internal teams, and maintains an organized, professional office environment.

 

Key Responsibilities

Front Desk & Reception

 

Greet and assist visitors, clients, and vendors in a professional and welcoming manner

 

Answer and route incoming phone calls and emails

 

Manage incoming and outgoing mail, deliveries, and courier services

 

Maintain visitor logs and office security procedures

 

Administrative Support

 

Provide administrative support to management and office staff

 

Schedule meetings, appointments, and conference rooms

 

Prepare correspondence, reports, and office documentation

 

Assist with data entry, filing, and record maintenance

 

Office Operations

 

Maintain office supplies inventory and place orders as needed

 

Coordinate office maintenance requests and vendor services

 

Ensure common areas and reception spaces remain organized and presentable

 

Support onboarding logistics for new employees

 

Customer Service

 

Respond to general inquiries from clients and internal staff

 

Assist with customer communication and follow-ups

 

Maintain a high level of professionalism and confidentiality

 

Qualifications

 

High school diploma or equivalent required; Associates degree preferred

 

2+ years of front office, receptionist, or administrative experience

 

Strong communication and interpersonal skills

 

Proficient in Microsoft Office (Outlook, Word, Excel)

 

Excellent organizational and multitasking abilities

 

Professional demeanor and customer-service mindset

 

Preferred Skills

 

Experience supporting multiple departments

 

Scheduling or calendar management experience

 

CRM or office management software experience

 

Ability to work independently in a fast-paced environment
