This Receptionist position serves as the first point of contact for visitors and callers, providing professional, friendly customer service while supporting a wide range of administrative tasks. The role includes greeting guests, managing phones and emails, handling basic payment processing, and partnering closely with internal teams to keep daily operations running smoothly. Responsibilities
- Greet and assist walk-in visitors in a friendly, professional manner, ensuring a positive first impression.
- Answer and direct incoming phone calls and emails, routing inquiries to the appropriate team members.
- Provide basic information to customers and ensure questions are addressed or escalated appropriately.
- Support scheduling and coordination activities to help keep daily operations organized and on track.
- Perform general administrative tasks such as data entry, filing, and documentation as needed.
- Maintain a clean, organized front office environment to present a professional and welcoming space.
- Monitor and maintain office equipment, including making coffee and supporting basic printer servicing.
- Run credit cards and process customer payments accurately and securely.
- Partner with internal teams, including sales, operations, and leadership, to support day-to-day business needs.
- Collaborate closely with accounting and other adjacent functions to ensure smooth communication and workflow.
- At least 2+ years of administrative experience.
- Previous experience in a receptionist, administrative, or customer service role preferred.
- Strong customer service skills with the ability to interact professionally with visitors and callers.
- Positive attitude and a professional, welcoming demeanor.
- Strong communication skills across phone, email, and in-person interactions.
- Organized and detail-oriented, with the ability to multitask and manage multiple priorities.
- Proficiency with basic computer systems and office software.
- Experience with Smartsheet and QuickBooks is strongly preferred.
- Ability to work collaboratively with accounting, sales, operations, and leadership teams.
- Familiarity with Smartsheet and Google Suite is a significant plus.
- Comfort using QuickBooks for basic payment processing and administrative tasks.
- Interest in growing into accounting or project management responsibilities over time.
- Ability to adapt in a small, family-owned business environment with a strong focus on long-term relationships.
- Reliability and commitment to staying with the organization for the long term as the company continues to grow.
This role is based in a front office environment within a small, family-owned business that emphasizes stability and long-term growth. The standard schedule runs Monday through Thursday from 8:00 a.m. to 4:30 p.m., and Friday from 8:00 a.m. to 1:00 p.m. While on contract, you will be paid for the hours worked; upon conversion to a permanent role, you will receive pay for the full 40-hour workweek. The company offers four weeks of paid vacation and health and benefits coverage for the entire family upon conversion. The organization maintains strong relationships with major general contractors and holds a significant share of its local market, providing a high degree of job security. You will work closely with accounting, and alongside the owner, inside sales, outside sales, and project managers in a collaborative, team-oriented setting. The front office environment is professional yet personable, with expectations to maintain a clean and organized workspace while using standard office equipment such as phones, computers, printers, and payment processing tools.
