We are seeking a highly organized, detail-driven Administrative Assistant to support our Corporate Administrator, executive leadership, and Bid Division Manager. This is a high-impact role where you’ll help keep operations running smoothly, ensure compliance across projects, and play a key role in supporting business-critical initiatives.

What You’ll Do

  • Conduct research on jurisdictions, regulations, and compliance requirements
  • Support and coordinate cross-functional special projects
  • Track and analyze data using Excel (formulas, reporting, dashboards)
  • Maintain and organize legal and contractual documentation
  • Ensure all projects have executed customer contracts in place
  • Manage change orders and track project scope updates
  • Oversee compliance requirements (licensing, insurance, billing, lien waivers)
  • Assist with negotiating and finalizing vendor and equipment agreements
  • Coordinate meetings via Microsoft Teams (scheduling, follow-ups, minutes)
  • Draft and edit reports, correspondence, and legal documents
  • Maintain corporate records and shared files
  • Provide executive-level administrative support
  • Serve as backup to Corporate Administrator when needed

What You Bring

  • Proven experience as an Administrative or Executive Assistant (or similar role)
  • Background in construction, AV, or technical environments preferred
  • Associate’s degree or higher (Electronics or related field preferred)
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to manage confidential information with professionalism
  • Comfortable multitasking and prioritizing in a fast-paced setting
  • Familiarity with OSHA or safety standards is a plus
  • Typing speed of 60+ WPM
