Position Summary

The Marine Boatyard Service Writer serves as the primary point of contact between customers and the service department. This role is responsible for conducting thorough intake inspections, preparing accurate service estimates, monitoring work orders throughout the repair process, and ensuring a high level of customer satisfaction. The Service Writer works closely with the service technicians and the parts and service department manager. This position reports directly to the General Operations Manager. A solid background in marine service and boat repair is required, enabling the Service Writer to confidently assess vessel condition, identify needed repairs, and communicate technical information clearly to both customers and technicians.


Key Responsibilities

Customer Relations

  • Serve as the primary point of contact for all service customers, in person, by phone, and by email
  • Communicate service status updates, estimate changes, and completion timelines
  • Resolve customer concerns with professionalism and a solutions-focused approach
  • Coordinate customer delivery and pick-up scheduling for vessels


Vessel Intake & Estimating

  • Conduct detailed inspections of incoming vessels to identify existing/potential repair needs
  • Collaborate with the service team to prepare thorough, accurately written service estimates
  • Advise customers on recommended repairs and maintenance items with clear explanations
  • Document vessel condition including photos and written notes, to establish a baseline record during intake and upon work order completion


Work Order Management

  • Open, manage, and close work orders accurately using boatyard management software
  • Coordinate job assignments and scheduling with Parts and Service Manager
  • Monitor the progress of active service projects and flag delays or scope changes promptly
  • Obtain customer authorization for all work prior to commencement
  • Ensure work orders are complete, accurate, and technician hours are properly documented


Outboard Engine Inventory & Parts Sourcing

  • Maintain organized inventory of Yamaha outboard engines, including tracking unit locations, condition, and availability
  • Review and interpret manufacturer service bulletins, technical manuals, and warranty documentation


Required Qualifications

  • Minimum 3–5 years of hands-on experience in a marine service environment, boat repair facility, or related field
  • Demonstrated knowledge of outboard engines, marine systems, and vessel maintenance
  • Proven ability to conduct vessel inspections and identify mechanical, cosmetic, and safety-related repair needs
  • Strong customer service and interpersonal communication skills, both written and verbal
  • Experience with boatyard or marine dealership management software (e.g., Boatyard, Dockmaster, Lightspeed, or similar)
  • Familiarity with parts sourcing, vendor relations, and purchase order processes


Preferred Qualifications

  • Experience as a marine service technician, service advisor, or shop foreman
  • ABYC certification or manufacturer service training (Yamaha, Mercury, Honda, Suzuki, Evinrude, or similar)
  • Experience managing outboard engine inventory
  • Background in marine service or automotive dealership service writing is preferred


Work Environment & Physical Requirements

  • Position operates in both a marine service facility and outdoor boatyard environment
  • Frequent walking of the yard, boarding vessels of various sizes for inspection purposes
  • Must be able to occasionally lift up to 50 lbs and work around boats in various states of repair
  • Exposure to outdoor weather conditions, fuel, and marine chemicals is expected
  • Standard boatyard hours apply; seasonal demand may require schedule flexibility
