Job Description
We are looking for a dependable Office Services Associate to support day-to-day administrative operations for a client site. This on-call contract position focuses on copy, scanning, mail, and front-office support while helping maintain an efficient and responsive workplace environment. The ideal candidate is organized, service-minded, and comfortable managing document handling and communication tasks in a fast-paced setting.
Responsibilities:
• Manage high-volume copying, printing, scanning, and digital document distribution with accuracy and efficiency.
• Sort, prepare, and deliver incoming and outgoing mail, packages, and interoffice correspondence in a timely manner.
• Provide front-desk and phone coverage, including answering a multi-line phone system and directing inquiries appropriately.
• Support meeting rooms and common areas by assisting with hospitality, basic audio/visual setup, and general workplace readiness.
• Handle confidential files and sensitive materials with discretion while following site procedures and service standards.
• Monitor workload priorities, complete assigned tasks within deadlines, and communicate issues that require supervisory support.
• Partner with colleagues and client contacts to ensure back-office services run smoothly across multiple functional areas.
• High school diploma or equivalent is required.• At least 1 year of experience in office services, mailroom, copy center, or related administrative support work.
• Practical experience with document scanning, reprographics, and mail handling operations.
• Strong customer service skills with the ability to build positive working relationships.
• Solid attention to detail, time management, and organizational abilities.
• Ability to work independently, exercise sound judgment, and know when to escalate concerns.
• Comfortable working with confidential information in a detail-focused environment.
• Able to succeed in a fast-paced team setting while maintaining a positive, proactive approach.
