About Golden Rain Foundation

The Golden Rain Foundation (GRF) of Seal Beach is a non-profit organization that supports the operations of Leisure World Seal Beach, a vibrant gated community serving more than 9,000 active adult residents age 55 and older.

GRF provides a wide range of services including community maintenance, recreation and fitness programs, transportation, security, and administrative support for 16 Mutual corporations within the community. Our organization is committed to professionalism, collaboration, resident service, and operational excellence.

Position Overview

The Assistant Portfolio Specialist serves as a junior-level portfolio support role within Mutual Administration, supporting the coordination and execution of governance, administrative, and operational functions for assigned Mutual corporations.

This role is ideal for a highly organized professional who enjoys working in a fast-paced environment, managing multiple priorities, and providing exceptional customer service. The position works closely with Board members, residents, leadership, and internal departments to support governance operations, meeting coordination, communication, and administrative follow-through.

This position offers an excellent opportunity for someone interested in developing a career in HOA governance, portfolio management, or community association administration.

Essential ResponsibilitiesGovernance & Administrative Support
  • Coordinate meeting logistics, materials, agendas, and communications
  • Draft and prepare accurate meeting minutes and records of Board actions
  • Support annual meetings, elections, and governance processes
  • Maintain governance tracking systems, calendars, and administrative workflows
  • Assist with compliance-related documentation and posting requirements
Portfolio & Operational Coordination
  • Maintain accurate records and documentation for assigned Mutual corporations
  • Track and follow through on Board-directed action items
  • Coordinate with internal departments and vendors regarding operational matters
  • Assist with processing violation notices and related documentation in accordance with established procedures
Communication & Customer Service
  • Serve as a professional point of contact for residents, Board members, and internal departments
  • Draft correspondence and support communications regarding policies and procedures
  • Provide front-line customer service and reception support as needed
Professional Standards
  • Maintain confidentiality and professionalism in all interactions
  • Demonstrate strong organizational skills, attention to detail, and accountability
  • Support a collaborative and service-oriented work environment
QualificationsRequired
  • High school diploma or equivalent
  • Two (2) years of administrative or customer service experience in a professional office environment
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Valid California Driver’s License with satisfactory driving record
Preferred
  • Experience supporting meetings, Boards, or HOA/community association operations
  • Experience preparing meeting minutes or governance-related documentation
  • Interest in HOA governance, community association management, or portfolio administration
  • Familiarity with virtual meeting platforms and agenda management systems
