We are growing and looking for a detail-oriented Administrative Assistant to join our Lynchburg team. This is an excellent opportunity for someone who enjoys working with numbers, verifying information, solving problems, and being part of a collaborative team. No prior title or escrow experience is required—we will provide all necessary training.
Position Overview
The Administrative Assistant plays a critical role in ensuring the accuracy and security of real estate settlement transactions. This position is responsible for reviewing financial information, verifying transaction details, coordinating disbursements, confirming wire instructions, and helping ensure that every transaction is completed accurately and efficiently.
Because this role involves handling financial information and large monetary transactions, exceptional attention to detail is essential.
Key Responsibilities
- Review settlement transactions for accuracy and completeness.
- Verify financial figures related to taxes, loan payoffs, seller proceeds, commissions, and other disbursements.
- Confirm and process outgoing wire transfers using established security procedures.
- Verify wire instructions and assist in fraud prevention efforts.
- Track and maintain records of deposits, receipts, and disbursements.
- Prepare and process checks and ensure timely delivery to clients and vendors.
- Communicate with lenders, real estate agents, attorneys, and clients to obtain and verify information.
- Assist with data entry, document review, filing, and other administrative tasks.
- Work closely with team members to ensure transactions are completed accurately and on schedule.
Qualifications

- Strong written and verbal communication skills.

- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Professional, dependable, and trustworthy.
- Prior experience in administrative support, bookkeeping, accounting, banking, finance, or customer service is a plus but not required.
