Job Description
Are you a detail-oriented planner with a passion for creating meaningful, impactful events? Our estate planning law firm is seeking a skilled Intake and Events Coordinator to lead the planning and execution of seminars, client appreciation events, community outreach efforts, and professional networking functions, as well as handling incoming calls and responding to client inquiries.
This role plays a key part in enhancing our firm's presence in the community and building lasting relationships with clients, referral partners, and prospective clients. The ideal candidate is organized, personable, and comfortable managing multiple moving parts while delivering a polished and professional experience.

Compensation:$21 hourly
Responsibilities:
- Plan, coordinate, and execute firm-hosted events such as educational seminars, client appreciation gatherings, webinars, and professional networking events.
- Answer and direct incoming phone calls as part of the administrative team, providing friendly and professional assistance to clients, vendors, and other contacts.
- Work closely with attorneys and marketing staff to align event content and goals with the firm’s brand and business development strategy.
- Manage all event logistics, including venue selection, vendor coordination, catering, invitations, registration, and on-site support.
- Track RSVPs, attendance, and post-event feedback to measure success and identify areas for improvement.
- Maintain an organized calendar of events and ensure deadlines and budgets are met.
- Build and nurture relationships with referral sources, community organizations, and local partners.
- Represent the firm with professionalism and warmth at all events.
- Support the front office as needed, helping ensure a welcoming and efficient environment for clients and guests.
Qualifications:
- Proven experience in event planning, coordination, or related roles (legal, professional services, or nonprofit experience is a plus).
- Experience handling large incoming call volumes.
- Strong organizational and time-management skills with the ability to handle multiple projects simultaneously.
- Excellent communication and interpersonal skills; confident interacting with a variety of audiences.
- Proficiency in Microsoft Office and experience with event software, CRM systems, or email marketing platforms (e.g., Constant Contact, Mailchimp).
- A proactive, self-starter attitude with attention to detail and follow-through.
- Ability to work evenings, depending on event schedules.
