Job Description
PrideStaff is currently seeking a highly organized, proactive, reliable and versatile Executive Assistant to to support a client in Frankfort, IL in a fast-paced manufacturing environment. This is not a traditional clerical role; it requires a unique blend of high-level administrative expertise, operational familiarity, and specialized regulatory compliance knowledge.
The ideal candidate will act as a strategic partner, managing day-to-day executive operations while confidently and discreetly handling critical business workflows including ERP system data management, DOT regulatory filings, corporate insurance documentation, and foundational multi-state sales tax compliance.
Schedule & Compensation
- Shift: 1st Shift, Monday through Friday, 7AM – 3:30PM
- Pay Rate: $30 – $32/hr (DOE)
Responsibilities
- Manage calendars for Owner and middle management
- Coordinate domestic and international travel arrangements
- Handle incoming and outgoing communications professionally
- Provide support during meetings, including scheduling and minute-taking
- Prepare and organize documents and reports accurately
- Enter data and generate reports as needed
- Maintain office organization and administrative systems
- Look up orders
- Ensure timely and professional "follow ups"
Required Qualifications
- Experience: 3–5+ years as an EA, specifically in a manufacturing or logistics environment.
- Tech Skills: High proficiency with ERP systems (Made 2 Manage, SAP, etc.) and Microsoft Excel.
- Compliance Knowledge: Proven experience with DOT regulations and filing paperwork.
- Business Aptitude: Comfort dealing with financial/legal concepts like insurance policies and sales tax forms.
- Traits: Exceptionally organized, discrete with confidential data, and comfortable working in a fast-paced plant environment. Strong analytical abilities and a high degree of emotional intelligence; able to navigate shifting priorities in a loud, dynamic environment.
- Discretion: Proven ability to handle highly sensitive and confidential business information with absolute integrity.
Preferred Qualifications
- Associate's degree in Business Administration or related field
- Proficiency with Microsoft Office Suite
- Experience with calendar management software
- Strong attention to detail
- Familiarity with ERP systems (Made 2 Manage)
