Location: Short Hills, NJ
Salary: $60,000 per year
Position Type: Full-Time (Flexible Hours – Not a 9–5 Role)
The Opportunity
We are seeking a high-level Executive Assistant - Real Estate to support a top-producing, fast-paced luxury real estate broker. This is not an entry-level role; we are looking for a sharp, proactive, solutions-driven professional who thrives in a high-performance environment.
As the broker’s "right hand," you will manage day-to-day operations, client experiences, and field support, ensuring a seamless, white-glove level of service across every touchpoint.
Key Responsibilities
Client & Field Support
- Accompany the broker on property showings, listing appointments, and client meetings.
- Prepare homes for showings (lighting, staging adjustments, and presentation perfection).
- Serve as a professional, knowledgeable point of contact for high-net-worth clients.
Listing & Transaction Coordination
- Organize listing materials, presentations, and necessary documentation.
- Coordinate photography, staging, videography, and marketing timelines.
- Ensure all compliance documents (disclosures, agreements, etc.) are complete and accurate.
- Track transaction milestones and communicate updates with clients, attorneys, and agents.
Operations & Administrative Excellence
- Manage calendars, appointments, and daily priorities with precision.
- Anticipate needs and proactively solve problems before they arise.
- Maintain CRM systems, client databases, and follow-up systems.
Marketing & Brand Support
- Assist with listing launches, social media coordination, and marketing campaigns.
- Coordinate brochures, email blasts, and promotional materials to maintain an elevated brand presence.
Requirements & Qualifications
- License: Must hold an Active New Jersey Real Estate License (Required).
- Experience: 2+ years in real estate, preferably supporting a top-producing agent or team.
- Knowledge: Strong understanding of contracts, transactions, and listing processes.
- Skills: Exceptional organizational skills and tech-savviness (MLS, CRM, digital marketing platforms).
- Communication: Polished and professional written and verbal communication.
