Job Purpose
The Administrative Assistant is responsible for a variety of administrative and clerical tasks. Administrative Assistant responsibilities include making meeting arrangements, preparing reports and maintaining appropriate filing systems. Excellent oral and written communication skills and the ability to organize their work using tools, like MS Excel, MS Word, Outlook, Microsoft PowerPoint and Adobe Acrobat and office equipment is required. A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of the office.
Duties and Responsibilities
- Answer and direct phone calls.
- Organize and schedule appointments.
- Plan meetings.
- Write and distribute email.
- Assist in the preparation and delivery of regularly scheduled reports.
- Develop and maintain a filing system.
- Update and maintain office policies and procedures.
- Order office supplies.
- Ability to interface with all levels of corporate, group and division management.
- Other duties or special projects as assigned.

- Excellent written and verbal communication skills.
- Proficient with Microsoft Office Suite or similar software.
- Strong attention to detail, organizational skills, and the ability to set and meet deadlines in a fast-paced environment.
- Ability to perform multiple priorities in a fast-paced environment and ability to work independently. Creative thinker with sound judgment.
Working conditions
This position works in an office environment with no travel required.
Physical requirements
- Ability to remain in a stationary position (e.g., sitting or standing) for extended periods.
- Frequent use of hands and fingers for typing, writing, and handling office equipment.
- Ability to communicate clearly in person and via electronic means.
- Occasional lifting or moving of items up to 10–20 pounds (e.g., office supplies).
- Visual ability to read documents, screens, and reports.
- Ability to navigate office environment, including walking short distances.
