DTN Staffing: Property Management and Car Rental Coordinator
Summary
The Property Management and Car Rental Coordinator with DTN Staffing manages all employee lodging and vehicle rental needs, ensuring a smooth, compliant, and efficient process from request through contract completion. This role coordinates reservations, contracts, records, billing support, and issue resolution while maintaining high employee satisfaction. The position requires strong organization, multitasking, proficiency in Outlook and Excel, and availability for after-hours emergencies.
Essential Duties and Responsibilities Lodging Coordination
- Coordinate all hotel and lodging placements, including short-term rentals and company-established lodging.
- Establish, adjust, and monitor weekly lodging rates.
- Track lease dates, renewals, extensions, and employee check-outs.
- Ensure all lodging contracts are signed and properly filed.
- Maintain lodging records, property folders, and shared documentation.
- Ensure properties meet safety, insurance, and city code requirements, including annual checks.
- Coordinate cleaning, maintenance, snow removal, and lawn care as needed.
- Address and resolve lodging-related complaints.
- Handle after-hours lodging emergencies.
- Conduct regular check-ins with managers to confirm usage and approve extensions.
Vehicle Rental Coordination
- Manage all vehicle rental requests.
- Ensure vehicles are insured, registered, and properly documented.
- Maintain accurate inventory, vehicle status, and key tracking.
- Coordinate vehicle cleaning schedules and assist as needed.
- Track and file vehicle-related documentation and receipts.
- Notify employees of rental return dates.
- Update payroll with fuel charges and deductions.
- Manage rental contracts and monthly revenue tracking.
- Support basic site and vehicle-related maintenance.
- Assist with branding and marketing initiatives related to vehicle rentals.

Required Education and Experience
- Strong interpersonal and organizational skills.

- Proficiency in English communication.
- Minimum of four (2) years of relevant office or rental-related experience.
- Proficiency in Microsoft Outlook and Excel.
- Ability to manage multiple priorities simultaneously.
Preferred Education and Experience
- Two-year business degree.
- Experience in a fast-paced environment.
- Light mechanical experience preferred (basic vehicle or property troubleshooting).
