Job Description
Job Title: Purchasing Specialist Exemption Status: Non-exempt
Reports to: Chief Financial Officer Date Approved: June 9, 2025
Primary Purpose: Efficiently acquire goods and services for the organization, focusing on
cost-effectiveness and building strong supplier relationships.
Qualifications:
Education/Certification: High School Diploma required. Bachelor’s degree preferred.
Special Knowledge/Skills: Computer knowledge, Excellent keyboarding and 10 key skills by touch,
attention to detail, written and verbal communication, math, time management
Experience: 1-3 years of relevant experience
Major Responsibilities and Duties:
● Research and select suppliers, negotiate contracts, and maintain relationships
● Process purchase orders, verify requisitions and manage inventory
● Analyze market trends, compare prices, and negotiate favorable terms with suppliers
● Ensure adherence to procurement policies and procedures, maintain records of purchases
● Assist Accounts Payable Specialist with verifications to ensure accurate and timely payments
● Work with internal departments to understand needs and provide support
● Address issues with related to quality, delivery, and invoicing
● Prepare and process requisition forms and purchase orders
● Verify budget codes and availability of funds
● Obtain quotes from vendors
● Assist various departments with fiscal year end tasks as needed
● Maintains confidentiality as appropriate in order to comply with district, state and federal laws
● Performs other duties as assigned for the purpose of ensuring the efficient and effective
functioning of the Business/Finance Department.

Tools/Equipment Used: Standard office equipment including personal computer and phone,
Posture: Prolonged sitting, some standing
Motion: some walking; occasional reaching, carrying, stooping, and kneeling, pushing/pulling
Lifting: Occasional lifting heavy objects or materials.
Environment: Primarily inside a climate controlled environment.
Mental Demands: Maintain focus, decision making, remain composed under pressure and meet
strict deadlines.
Attendance: Must maintain regular and acceptable attendance/punctuality as required by the Board of
Education policies and regulations.
Clearances: Background check, driving record, drug screen, TB test
