  • Greet and check in patients, visitors, and vendors professionally.
  • Schedule, reschedule, and confirm patient appointments.
  • Answer incoming phone calls and route messages appropriately.
  • Verify patient demographics, insurance information, and contact details.
  • Collect copays, deductibles, and outstanding balances.
  • Assist patients with intake paperwork, consent forms, and other required documents.
  • Maintain accurate patient records in the Electronic Health Record (EHR).
  • Scan, upload, fax, file, and organize documents as needed.
  • Send appointment reminders and follow up on missed appointments.
  • Coordinate referrals and assist with provider scheduling needs.
  • Maintain patient confidentiality and comply with HIPAA regulations.
  • Monitor and maintain a clean, organized, and welcoming reception area.
  • Order and stock office supplies as needed.
  • Communicate effectively with providers, billing staff, and other team members.
  • Assist patients with general questions regarding services, scheduling, and office procedures.
  • Recognize patients in crisis and immediately notify clinical staff.
  • Follow clinic safety procedures and emergency protocols.
  • Support daily administrative operations and special projects as assigned.
  • Demonstrate professionalism, punctuality, reliability, and excellent customer service at all times.
  • Maintain positive relationships with patients, families, referral sources, and staff.
  • Attend required staff meetings, trainings, and compliance updates.
