Program Administrative Assistant
Schedule: Monday–Friday, 8:30 AM – 5:00 PM
Pay Rate: $15.00/hour
Assignment Type: Short-term temporary position
Requirements: Background check required
The Program Assistant provides administrative and operational support to ensure efficient program services. This position is responsible for managing a high volume of referrals, providing excellent customer service, maintaining accurate records, and assisting with daily program operations. The ideal candidate is organized, detail-oriented, and able to work effectively in a fast-paced environment.
Duties and ResponsibilitiesManage and process a large volume of referrals in a timely and accurate manner
Provide professional and courteous customer service to clients, staff, and community partners
Respond to phone calls, emails, and general inquiries regarding program services
Maintain accurate records, files, and data entry systems while ensuring confidentiality
Assist with scheduling appointments, coordinating services, and supporting program activities
Perform general administrative duties including filing, scanning, and preparing documents
Support daily office operations and assist team members as needed
Perform other duties as assigned
Manage and process a large volume of incoming referrals in a timely and accurate manner
Review referral documentation for completeness and accuracy
Enter, update, and maintain referral information within electronic databases and tracking systems
Monitor referral status and follow up with clients, providers, and partner agencies as needed
Coordinate intake and scheduling processes to ensure timely service delivery
Maintain organized and confidential client records in compliance with agency policies and procedures
High school diploma or equivalent required
Previous administrative, office support, or customer service experience preferred
Strong communication, organizational, and multitasking skills
Proficiency in Microsoft Office and general computer applications
Ability to work independently and collaboratively in a team environment
