Program Administrative Assistant 

Schedule: Monday–Friday, 8:30 AM – 5:00 PM
Pay Rate: $15.00/hour
Assignment Type: Short-term temporary position
Requirements: Background check required

Position Summary

The Program Assistant provides administrative and operational support to ensure efficient program services. This position is responsible for managing a high volume of referrals, providing excellent customer service, maintaining accurate records, and assisting with daily program operations. The ideal candidate is organized, detail-oriented, and able to work effectively in a fast-paced environment.

Duties and Responsibilities
  • Manage and process a large volume of referrals in a timely and accurate manner

  • Provide professional and courteous customer service to clients, staff, and community partners

  • Respond to phone calls, emails, and general inquiries regarding program services

  • Maintain accurate records, files, and data entry systems while ensuring confidentiality

  • Assist with scheduling appointments, coordinating services, and supporting program activities

  • Perform general administrative duties including filing, scanning, and preparing documents

  • Support daily office operations and assist team members as needed

  • Perform other duties as assigned

Referral Management
  • Manage and process a large volume of incoming referrals in a timely and accurate manner

  • Review referral documentation for completeness and accuracy

  • Enter, update, and maintain referral information within electronic databases and tracking systems

  • Monitor referral status and follow up with clients, providers, and partner agencies as needed

  • Coordinate intake and scheduling processes to ensure timely service delivery

  • Maintain organized and confidential client records in compliance with agency policies and procedures

Qualifications
  • High school diploma or equivalent required

  • Previous administrative, office support, or customer service experience preferred

  • Strong communication, organizational, and multitasking skills

  • Proficiency in Microsoft Office and general computer applications

  • Ability to work independently and collaboratively in a team environment
