Position Overview

We are seeking a highly organized and detail-oriented Property Management Office Administrator to join our dynamic team. This full-time position serves as the administrative backbone of our property management operations, ensuring smooth day-to-day functions while maintaining exceptional tenant relations and property standards. The ideal candidate will be a proactive problem-solver with excellent communication skills and a strong understanding of property management procedures, tenant screening processes, lease administration, and compliance management.

Primary Responsibilities

Tenant Vetting and Screening

As a critical first line of defense in maintaining quality tenancy, you will be responsible for conducting comprehensive tenant screening processes:

  • Review and process all rental applications with meticulous attention to detail, ensuring completeness and accuracy of submitted documentation
  • Conduct thorough background checks including credit reports, criminal history, eviction records, and employment verification
  • Contact and verify references from previous landlords, employers, and personal references to assess applicant reliability and rental history
  • Analyze applicant financial qualifications, including income-to-rent ratios, debt obligations, and overall financial stability
  • Prepare detailed screening reports with recommendations for approval or denial based on established criteria and fair housing guidelines
  • Maintain up-to-date knowledge of fair housing laws and ensure all screening processes comply with federal, state, and local regulations
  • Communicate screening decisions professionally to applicants and coordinate move-in procedures for approved tenants

  • Conduct market research to determine appropriate rental rate adjustments based on current market conditions, property improvements, and tenant payment history
  • Prepare and present renewal offers including updated lease terms, rental rates, and any policy changes
  • Negotiate renewal terms with tenants while balancing company objectives with tenant retention goals
  • Process lease renewal documentation
