Job Description – The Assistant Property Manager will work closely with the Property Manager, Asset Manager, Property Coordinator, and Engineering and Security teams to ensure the successful fiscal and real property management of the building. The primary responsibilities for the Assistant Property Manager will be actively participating in the preparation of the monthly and annual financial reporting packages, project managing above standard work for tenants including suite improvements and maintenance. Establishing and maintaining relationships with building vendors driving high quality work and service. Additional responsibilities for the Assistant Property Manager will include the following:
Responsibilities:
  1. Manage all tenant correspondence, move-ins and move-outs, and preparation of all related documents
  2. Participate in all aspects of the property budget and monthly variances
  3. Assist Property Manager with the aging report and following up on delinquencies
  4. Assist in overseeing various capital and TI projects and independently manage smaller construction projects
  5. Interface with tenants and vendors on work order requests, on-site maintenance, improvement projects and events
  6. Assist Property Manager with all tenant Common Area Maintenance (CAM) charges, tax assessments, and other miscellaneous billing adjustments
  7. Prepare tenant lease abstracts
  8. Prepare vendor agreements
  9. Split and code invoices and research issues with vendor invoice and ensure tenant billbacks have been processed
  10. Track accruals of vendor invoices for accurate month-end reporting
  11. Assist with variance explanations on expense related items
  12. Ensure tenant files are complete and in compliance with building standards
  13. Responsible for leading regular inspections of properties with janitorial and other building service providers
  14. Develop SOWs and RFPs for recurring and one-time services
  15. Oversee tenant and vendor insurance certificates
  16. Develop strong relationships with tenants and vendors
Position Requirements
  1. 3 years as a Property Coordinator or Administrator
  2. Strong knowledge of finance and building operations with excellent communication skills.
  3. Highly proficient in Microsoft Excel, Word, and Outlook, Yardi, MRI, Timberline, Building Engines, and other commercial real estate software programs.
  4. Professional with exceptional problem solving and analytical skills.
  5. Excellent customer service skills and ability to develop long term relationships with tenants.
Education
  1. Bachelor’s degree required
