Job Summary

We are seeking an experienced Surgery Scheduler / Authorization Coordinator to support a busy orthopedic practice. The ideal candidate will have hands-on experience scheduling surgical procedures, obtaining insurance authorizations, coordinating pre-operative requirements, and working within the Epic EMR system. Experience in a surgery center, hospital, or orthopedic setting is highly preferred.

Required Qualifications

  • High School Diploma or GED
  • Flu Vaccination required (no exemptions or declinations)
  • Minimum 2 years of surgery/procedure scheduling experience
  • Minimum 1 year of insurance authorization experience
  • Experience with Epic EMR
  • Proven experience obtaining insurance authorizations for surgical procedures
  • Strong understanding of insurance verification, referrals, and authorization processes
  • Excellent communication, organization, and patient coordination skills

Preferred Qualifications

  • Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA)
  • Surgery center or hospital experience
  • Experience scheduling spinal procedures and total joint surgeries
  • Knowledge of Workers' Compensation authorization processes

Key Responsibilities

  • Coordinate and schedule surgical procedures, pre-operative, and post-operative appointments.
  • Verify insurance coverage and obtain required surgery and procedure authorizations.
  • Coordinate patient clearances, pre-operative testing, and required studies to ensure readiness for surgery.
  • Schedule operating room time, clinical staff, and physician resources for procedures.
  • Serve as the primary point of contact for patients throughout the surgical process.
  • Educate patients on surgery preparation, physician-directed instructions, and required education classes.
  • Collaborate with physicians, clinical staff, hospitals, surgery centers, and external providers to ensure seamless care coordination.
  • Obtain and coordinate special equipment and resources required for surgical procedures.
  • Manage patient inquiries, concerns, and service recovery efforts when necessary.
  • Complete and manage physician referrals and work queues.
  • Handle physician correspondence, forms, authorization requests, calendar management, and related administrative duties.
  • Maintain accurate patient demographics, insurance information, and medical records within Epic EMR.
  • Partner with billing teams to provide documentation for audits and ensure timely submission of surgical reports and charges.
  • Coordinate with Workers' Compensation adjusters and case managers regarding authorization requests and required documentation.
  • Provide administrative and operational support to the clinical team as needed.
