About the Role
The Administrative Assistant provides essential day-to-day support to the General Manager and operations leadership team at one of our 23 US warehouse facilities. Essential Duties & Responsibilities
Operations & Shipping Administration
- Process outbound orders accurately in the warehouse management system (WMS).
- Enter inbound receiving records to ensure inventory accuracy in a timely manner.
- Assist with scheduling outbound and inbound shipments in accordance with freight policy and operational priorities.
- Maintain an organized filing system — digital and physical — for all inbound and outbound shipments.
- Monitor and report backlog status to operations and procurement teams.
- Manage email accounts and correspondence related to the order and shipping process.
- Produce weekly and monthly operational data reports and distribute to the appropriate teams.
General Office & Facility Administration
- Support the Operations leadership with scheduling, meeting coordination, and correspondence.
- Prepare, compile, and distribute daily, weekly, and monthly KPI and performance reports.
- Manage office supply inventory and coordinate facility-level purchasing and purchase orders.
- Serve as the point of contact for facility visitors, vendors, and incoming communications.
- Assist in tracking budget expenditures and preparing expense reports.
Workforce & HR Administration
- Maintain employee files and ensure HR documents are current and compliant.
- Assist with onboarding logistics for new hires — paperwork, orientation scheduling, badge access, and uniform orders.
- Assist with applicant screening and interview scheduling as needed.
- Job Requirements & Qualifications
- 2–5 years of administrative experience, preferably in a warehouse, distribution, logistics, or manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with WMS, ERP, or HRIS systems a plus.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy in data entry and record keeping.
- Ability to handle confidential information with discretion and professionalism.
- Efficient time management and ability to work independently with minimal supervision.
- Flexibility to work overtime as required.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field, or equivalent experience.
- Experience supporting a General Manager or senior operations leader.

- Ability to sit and work at a computer for extended periods.
- Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
