Our client is seeking an organized and detail-oriented Front Office & Operations Coordinator who thrives in a fast-paced, team-driven environment. This role serves as the first point of contact for visitors while also supporting the coordination of daily office operations—ensuring a polished, efficient workplace and providing seamless support across teams. This position goes beyond traditional front desk responsibilities, playing an active role in improving processes and leveraging modern tools, including emerging technologies such as AI, to enhance efficiency. The ideal candidate is proactive, adaptable, and highly organized, with the ability to manage multiple priorities while maintaining a professional and welcoming environment.


Key Responsibilities:

Front Office & Guest Experience

  • Serve as the first point of contact for visitors, clients, and vendors
  • Greet guests and ensure a professional, welcoming office environment
  • Answer and route incoming calls with professionalism
  • Manage general office communications and shared inboxes


Office Operations & Coordination

  • Coordinate daily office operations to ensure efficiency and organization
  • Manage shared calendars, meeting spaces, and internal scheduling needs
  • Support office logistics and cross-functional coordination


Supplies & Workplace Management

  • Order, track, and restock office and kitchen supplies
  • Maintain organization of common areas, including conference rooms
  • Coordinate with cleaning services to ensure a consistently presentable workspace


Mail, Shipping & Administrative Support

  • Sort, scan, and distribute incoming mail
  • Prepare and manage outgoing mail and shipments
  • Maintain organized digital and physical filing systems
  • Run occasional office errands, including shipping and postal drop-offs


Office Maintenance & Technology

  • Troubleshoot basic office equipment issues (printers, phones, conferencing tools)
  • Coordinate minor repairs and vendor service requests
  • Support overall office upkeep and functionality


Team & Culture Support

  • Assist with internal meetings, events, and team activities
  • Support employee recognition efforts and celebrations
  • Coordinate logistics for external events and conferences
  • Assist with employee travel arrangements


Administrative & HR Support

  • Support onboarding for new employees
  • Provide general administrative support to team members
  • Collect and organize documentation for internal processing


Additional Responsibilities

  • Support special projects and other duties as assigned


Qualifications:

  • 2+ years of experience in an administrative, front office, or office coordination role
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with standard office tools (email, calendars, document systems)
  • Valid Colorado Driver’s License with reliable transportation for commuting and occasional errands


Preferred Qualifications:

  • Notary certification or willingness to obtain
  • Comfort learning and using new technologies, including productivity and AI tools


Schedule & Compensation:

  • Full-time, in-office (Monday through Friday)
  • Schedule options: 8:00 AM – 5:00 PM or 9:00 AM – 6:00 PM
  • Pay range: $28.85 – $31.25/hour, depending on experience
