Maintenance Coordinator Job Summary
The Maintenance Coordinator provides essential administrative support to the Maintenance Manager, ensuring the efficient coordination of maintenance operations, service requests, and property turns. This role acts as a key liaison between maintenance technicians, vendors, residents, and property management teams. Responsibilities include managing work order and turn processes, tracking preventive maintenance schedules, generating reports, and maintaining accurate records through RealPage software. The Maintenance Coordinator ensures smooth communication, timely task completion, and adherence to company and resident standards.
Maintenance Coordinator Qualifications
- High School graduate or GED.
- 1+ years of experience in property management, or customer service.
- Familiar with/able to use property management software, such as RealPage, Yardi, etc.
- Proficient with MS Office Software, including MS Word, Excel, Outlook.
- Excellent verbal and written communication and presentation skills.
- Ability to work independently without significant oversight of responsibilities.
- Comfortable working and communicating with employees and residents at all levels.
- Basic financial skills to ensure proper accounting and documentation of residency management.
- Ability to analyze and perform self-audits to identify and fix discrepancies.
- Ability to adapt and prioritize scheduling based on urgency and need.
- Ability to multi-task in a demanding environment.
- Ability to pass a state and federal background check to obtain access to the installation; ability to pass a 12-panel pre-employment drug test.
- Valid driver’s license; must be able to meet a Motor Vehicle Review in accordance with Company policy; Note: Employee will be required to use personal vehicle for on-the-job transportation.
- Ability to communicate with associates and customers.
Maintenance Coordinator Essential Functions
- Assists with the coordination between Maintenance Department functions, acting as a liaison between the maintenance technicians, vendors, and residents
- Manages and tracks work order data through property management software to ensure compliance is met and SOP guidelines are being followed.
- Regularly updates the Operations Director, Maintenance Manager, and Leasing and Resident Manager on work order progress and turn status.
- Manages the full lifecycle of work orders and purchase orders, ensuring accurate tracking and organization.
- Coordinates vendor and maintenance activities, including scheduling and purchase orders, to maintain seamless operations.
- Assists the Maintenance Manager in ordering supplies and tracks inventory for work orders and turn over process.
- Supports the Maintenance Supervisor in daily technician coordination.
- Conducts turnover quality assurance inspections with the Maintenance Supervisor and/or Maintenance Manager within the turnover process.
- Initiates preventive maintenance work orders and schedules/tracks the preventative maintenance.
- Communicates with residents regarding work order status and ensures detailed completion notes and technician/vendor time worked are captured within the property management software.
- Leads the weekly Work Order Review meeting with leadership to identify best practices, successes, and challenges.
- Regularly reviews the property management reports that capture availability, turnover schedule, open purchase orders, service request details, and the dashboard in general.
- Communicates with the Leasing staff and dispatch center to ensure proper categories are assigned to work orders.
- Helps to identify inconsistencies in the maintenance department and provides feedback to the Maintenance Manager.
- Provides accurate and up-to-date turnover schedules to vendors; assists vendors in accessing vacant and occupied homes.
- Assists the accounting department in ensuring that maintenance purchase orders and invoices are accurate.
- Enters inventory requirements annotated on work orders and turnover scheduling into property management software and assists the Maintenance Manager in making required purchases.
- Issues, tracks, and manages keys for all local Mayroad properties.
