Registrar/Administrative Assistant


Position Summary

Eastpointe High School is seeking a compassionate, organized, and dependable Registrar – Administrative Assistant for our Tucson campus. This person is the first voice and face of the school and plays a critical role in creating a welcoming, professional, and supportive environment for students, families, staff, and visitors.


This position is much more than a traditional front desk role. In an alternative school setting, the right person must be patient, empathetic, flexible, and able to manage many responsibilities at once. Our students and families often come to us with unique needs and experiences, and this role requires someone who can respond with warmth, professionalism, confidentiality, and care.


The Registrar – Administrative Assistant supports daily office operations, student enrollment, student records, communication with families, attendance support, and data entry in the school’s student information system.


Essential Duties and Responsibilities

  • Serve as the first point of contact for students, families, staff, visitors, and callers.
  • Greet all visitors warmly and professionally while helping maintain a safe and organized front office.
  • Answer phones, respond to questions, route calls, take messages, and assist families with school-related needs.
  • Support student check-in/check-out procedures and visitor protocols.
  • Manage student enrollment, withdrawals, records requests, and student file documentation.
  • Enter and maintain accurate student information in the student information system.
  • Use student information systems, Synergy, to support enrollment, records, attendance, and reporting.
  • Request, collect, organize, and maintain required student documents, including transcripts, immunization records, birth certificates, proof of residency, and withdrawal paperwork.
  • Assist with attendance communication, parent contact, student follow-up, and general campus communication.
  • Maintain confidentiality of student and family information at all times.
  • Provide administrative support to campus leadership, teachers, counselors, and staff.
  • Prepare forms, reports, rosters, letters, spreadsheets, and other school documents as needed.
  • Assist with filing, scanning, copying, mail, supplies, and general office organization.
  • Support a positive, relationship-focused school culture for students who may be credit-deficient, at-risk, or re-engaging in school.
  • Perform other duties as assigned to support the daily needs of the campus.

Required Qualifications

  • High school diploma or equivalent required.
  • Experience working in an alternative school, credit recovery program, dropout recovery program, or similar non-traditional educational setting is required.
  • Experience using a student information system is required; Synergy experience is strongly preferred.
  • Prior school front office, registrar, enrollment, attendance, or student records experience preferred.
  • Strong computer, data entry, organization, and communication skills.
  • Ability to manage multiple priorities in a busy school office.
  • Ability to remain calm, professional, and respectful under pressure.
  • Ability to maintain confidentiality and handle sensitive student information appropriately.
  • Dependable, punctual, flexible, and able to work on-site during assigned school hours.
  • Must be able to obtain and maintain any required background or fingerprint clearance.

Preferred Qualifications

  • Bilingual English/Spanish preferred.
  • Knowledge of FERPA, student records, enrollment, attendance, and school compliance processes preferred.
  • Experience working with at-risk, credit-deficient, or non-traditional high school students strongly preferred.
