Equal Access is partnering with a well-established New York based real estate management firm seeking an experienced and dynamic Director of Maintenance.

With over 40 years of experience in multifamily housing operations. The company specializes in affordable, rent-stabilized, senior, and LIHTC communities across the NYC area. Known for long-term property retention and strong agency partnerships, they deliver stable, compliance-driven management.

Position Summary:

The Director of Maintenance oversees all aspects of property maintenance, ensuring that properties are safe, well-maintained, and aesthetically pleasing. This role involves managing a team of maintenance staff, coordinating repairs, and implementing preventative maintenance programs. The ideal candidate will have strong leadership skills, extensive knowledge of building systems, and a commitment to excellent customer service.

Key Responsibilities:

  • Manage the overall day-to-day maintenance operations of the properties;
  • Interview and hire all maintenance employees and develop and maintain solid employee retention practices;
  • Complete all Company required training and ensure staff’s completion of such training;
  • Trains, coaches, and counsels maintenance team members on Company policies and procedures;
  • Responsible for the thorough knowledge, execution and enforcement of all policies and procedures of Dolphin and its affiliated companies, including safety policies, through constant supervision and review;
  • Responsible for job training, employee disciplinary notices, and annual performance evaluations for employees on site, in consultation with the Asst. VP of Facilities and Maintenance;
  • Maintains and submits accurate payroll records;
  • Supervises day-to-day maintenance operations (safety, preventive maintenance, unit turnover);
  • Maintains required safety records, conducts semi-annual and monthly safety meetings with site staff, maintains meeting records;
  • Responsible for creating the preventive maintenance schedule for the maintenance staff;
  • Responsible for making sure all maintenance employees respond to resident maintenance requests in a timely, efficient and considerate manner;
  • Reviews reports at least weekly to monitor work order completion, assessing staff performance and efficiency;
  • Monitors all violations (HPD, DOB, FDNY) utilizing the Jack Jaffa portal and works with the maintenance team and senior management to resolve and certify violations;
  • Coordinates and performs pre-inspections of units in preparation for annual agency inspections, and ensures units are inspection ready;
  • Maintains supplies inventory and places all supplies orders, in accordance with the annual budget for the sites;
  • Responsible for ensuring all site machinery is properly maintained and operated by qualified maintenance staff;
  • Ensures compliance with regulatory agency building codes;
  • Responsible for securing bids and preparation of leveling sheets for different projects, including capital expenditures required for the properties, in accordance with budget and in consultation of the VP of Facilities and Maintenance;
  • Manages relationships and addressing any issues that may arise with outside vendors
  • Works with the staff to ensure all vacant units are up to code and ready for lease-ups and move-ins, developing turn scopes and monitoring staff and vendor completion of repairs;
  • Coordinates maintenance projects needed to improve, bring or keep properties up to code;
  • Conducts annual unit inspections to ensure compliance with program requirements;
  • Conducts regular visual inspections of all properties in the portfolio, addressing any follow up items needed immediately with staff and verifying completion;
  • Reports any unusual circumstances, property loss or liability related incidents and work-related injuries involving regarding the residents, property or personnel to the Site Manager and Human Resources Department.

Requirements:

  • Bachelor’s degree preferred
  • Minimum of 5 years of experience in property management, with a focus on compliance and housing regulations.
  • In-depth knowledge of NYC housing laws, HUD regulations, and Section 8 programs.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Proficiency in property management software and Microsoft Office Suite.
