Job Summary  
We are seeking a Front Desk Supervisor to oversee the daily operations of the front office, ensuring exceptional patient service, efficient scheduling, accurate registration processes, and compliance with organizational policies and healthcare regulations. This role supervises front desk staff and serves as a key liaison between patients, providers, and administrative teams.

Key Responsibilities
  1. Supervise and coordinate the daily activities of front desk personnel
  2. Train, coach, and evaluate front office staff to ensure high-quality patient service and operational efficiency
  3. Monitor patient check-in and check-out procedures for accuracy and timeliness
  4. Oversee appointment scheduling, patient registration, insurance verification, and referral processing
  5. Resolve patient concerns, complaints, and service issues professionally and courteously
  6. Ensure accurate maintenance of patient demographics, insurance information, and medical records
  7. Monitor front office workflows and implement process improvements to enhance patient experience and productivity
  8. Coordinate communication between providers, medical assistants, billing staff, and other departments
  9. Prepare reports, maintain records, and track departmental performance metrics
  10. Ensure compliance with HIPAA, clinic policies, and regulatory requirements
  11. Assist with staffing schedules, attendance tracking, and coverage planning
  12. Participate in meetings and support organizational initiatives and quality improvement efforts

Required Qualifications
  1. High School Diploma or equivalent
  2. Minimum 2–3 years of healthcare front office or medical reception experience
  3. Previous supervisory, lead, or team leadership experience
  4. Knowledge of patient registration, insurance verification, referrals, and scheduling processes
  5. Strong customer service and conflict resolution skills
  6. Proficiency in EMR/EHR systems and Microsoft Office applications

Preferred Qualifications (if any)
  1. Associate’s or Bachelor’s degree in Healthcare Administration, Business Administration, or related field
  2. Experience working in a community health center, multi-specialty clinic, or Federally Qualified Health Center (FQHC)
  3. Bilingual skills (English/Spanish, Vietnamese, or other languages commonly served by the community)
