PDQ Delivery LLC is seeking a highly organized, professional, and compassionate NEMT Office Assistant to support the daily operations of our Non-Emergency Medical Transportation (NEMT) services. This critical role serves as the central point of communication between drivers, clients, healthcare facilities, brokers, and management. The ideal candidate will possess strong administrative, customer service, and problem-solving skills while thriving in a fast-paced transportation environment.

The NEMT Office Assistant plays a key role in ensuring transportation schedules are coordinated efficiently, documentation is maintained accurately, and clients receive exceptional service. This position requires excellent attention to detail, strong communication skills, and the ability to manage multiple priorities while supporting operational excellence.

Essential Duties & Responsibilities

  • Answer incoming calls from clients, healthcare facilities, transportation brokers, drivers, and staff in a professional and courteous manner.
  • Coordinate and schedule transportation trips while ensuring accuracy of pickup times, appointment details, and client information.
  • Monitor driver communications and assist with route adjustments, trip updates, cancellations, and scheduling changes.
  • Verify trip information, client eligibility, and transportation authorizations when applicable.
  • Assist with driver onboarding documentation, compliance tracking, and contractor file maintenance.
  • Perform data entry and maintain accurate records within transportation management systems, spreadsheets, and company databases.
  • Review daily transportation logs, trip documentation, mileage reports, and service records for completeness and accuracy.
  • Support payroll and audit processes by reviewing driver timesheets, attendance records, and operational reports.
  • Maintain electronic and physical filing systems for client records, driver files, incident reports, and company documentation.
  • Prepare and distribute correspondence, reports, notices, and operational updates.
  • Assist with incident reporting by collecting information and documenting transportation-related events according to company procedures.
  • Monitor office supply inventory and coordinate ordering as needed.
  • Provide administrative support to management, including scheduling meetings, preparing reports, and completing special projects.
  • Ensure compliance with HIPAA, company policies, transportation regulations, and confidentiality requirements.

Qualifications & Skills

  • High school diploma or equivalent required; administrative or healthcare transportation experience preferred.
  • Previous experience in an office administration, dispatcher, customer service, healthcare, transportation, or NEMT environment is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Strong computer and data entry skills with a high level of accuracy.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Strong organizational and time management skills.
  • Professional phone etiquette and customer service skills.
  • Ability to maintain confidentiality and handle sensitive client information.
  • Bilingual (English/Spanish) candidates are strongly encouraged to apply.
  • Experience with transportation scheduling software, dispatch systems, or healthcare-related administrative systems is a plus.
  • Knowledge of Medicaid transportation services and NEMT operations is beneficial but not required.
