We are looking for a highly organized, dependable Office Assistant to help keep daily operations running smoothly and support the team behind the scenes.
Position Summary
The Office Assistant will answer the phones, support leadership, coordinate office functions, manage records and communication, and help ensure our office stays organized and on track.
This role is ideal for someone who is professional, has experience answering business calls, proactive, detail-oriented, trustworthy, and comfortable handling multiple priorities in a fast-paced environment.
Key Responsibilities
Answer the business phone line
Manage daily office operations and administrative workflow
Maintain organized records, files, contracts, and internal documents
Coordinate calendars, meetings, travel, and scheduling needs
Assist with payroll, reimbursements, expense tracking, and vendor payments
Track and order office supplies and operational materials
Help leadership stay organized with follow-up, deadlines, and task management
Assist with reporting, spreadsheets, and general business support
Handle confidential information with professionalism and discretion
Qualifications
Prior experience in office management, operations, administrative support, or similar role
Strong organizational and time management skills
Excellent communication and follow-up skills
Ability to multitask and work independently
Professional, dependable, and detail-oriented
Strong problem-solving ability
Comfortable working in a fast-paced, growing business
Proficient in Microsoft Office, Google Workspace, email, and spreadsheets
Preferred Qualifications
Experience supporting a rapidly growing or traveling-based business
Experience with payroll, bookkeeping support, or expense management
Experience with employee documentation
Ability to create structure and improve internal processes
