Medical Equipment Coordinator
Overview:
This is a 3-6 month contract position, that will provide clerical and computer support to clinical staff in the provision of hospice care and services. Orders equipment and supplies. Functions within established policies and procedures to assure compliance to federal and state regulations. This is a non-exempt position. After training, this position may allow for 2 hybrid/remote days per week.
Work Schedule: 8am - 4:30pm, Monday - Friday
Reports to:Office Manager
RESPONSIBILITIES:
Coordinate new admissions with the admission/referral team to order, schedule and confirm DME (durable medical equipment) delivery for the patient. Coordinate DME needs with DME vendor and with the family to communicate arrangements.
Coordinate deaths/discharges with DME vendor and family to arrange pick up of equipment. Enter DME pick up orders into DME track, and also in the IDG DME module of the patient's chart.
Schedule transports for respite, new patient & appointment transports with vendor for requested dates and times, coordinating with DHC or other respite facility and or appointment location (hospital for paracentesis, etc.)
Order, stock, maintain, and rotate supplies to ensure minimal expiration. Add new items as needed, keep items in an organized manner that is readily accessible by staff at all time. Check for expired products, and discard them appropriately following Survey guidelines.
Monitor the supply refrigerator to ensure that the temperature is within safe range for vaccines and other temperature sensitive supplies. Document sign in log with temperature and initials. Report any issues to management immediately.
Monitor and schedule pickup from appropriate agencies for sharps disposal for hazardous materials containers, ensuring that there are containers available and full ones are picked up within a timely manner.
Gather supplies needed to fulfill New Hire Nursing totes and bags, ensuring they have all starter supplies and base equipment to be able to perform duties as needed during orientation. When an employee discharges, check returned totes and bags for any expired items, properly sanitize and replenish for future needs.
Ensure that there are adequate supplies on hand at all times for TB testing, Flu shots and other vaccines as needed. Make sure there are printed sign in sheets and other materials for staff, etc.
Work with internal care team, family, and vendors to coordinate PT/OT needs for patients.
Procure DME with a vendor outside service area if the travel hospice doesn"t provide to assist Referral Center (Maryland Seashore /Apple pharmacy is an example)
Follow up on any UO"s involving transports, supplies, therapies, or DME. Report back to parties involved and perform service recovery to family if needed.
Enter all approved service requisitions services into patients charts once approved by AD for billing purposes. Email billing once entered
Act as back up for phone operator. Answer incoming calls in a timely manner. Direct calls to appropriate parties.
Perform other duties as assigned
QUALIFICATIONS:
High school diploma required.
Education and/or experience as a medical assistant pr medical equipment coordinator preferred.
Three or more years of medical office experience may be substituted for formal training.
Must be PC literate; possess excellent verbal and written communication skills.
